Organisational Context

east Victoria across an area of 20,000 square kilometres. The service delivery area is bound by Corryong, Yarrawonga,

Benalla and Dartmouth. We operate 21 water treatment facilities and 22 wastewater treatment plants that service most

towns across the region. Over 200 full time equivalent staff are employed at our centres in Wodonga, Wangaratta, Benalla,

Yarrawonga, Corryong, Beechworth, Mount Beauty and Myrtleford.

Our operations are overseen by the Department of Energy, Environment and Climate Action (DEECA) on behalf of the

Minister for Water, and the Department of Treasury and Finance (DTF) on behalf of the Treasurer. We continue to invest in

innovative and long-term capital projects which contribute to the health and well-being of current and future generations.

The Operations \& Fleet Support Officer:

  • Provides guidance, advice, and support to Operations Managers and the General Manager Environment, Systems

and Operations. * Supports the delivery of major plant and fleet capital programs, including procurement activities. * Undertakes long‑range fleet forecasting to support budgeting and capital planning processes. * Supports fleet administration and operational requirements, including servicing and maintenance, to promote

cost‑effective and financially efficient practices.

  • Supports operations staff with data collection and data cleansing to ensure accurate and timely reporting.
  • Assists depots to effectively utilise the corporation’s administrative systems, including finance, records management, and asset management systems.

  • Facilitates and coordinates operational meetings and workshops.

  • Ensures processes and procedures are current and in place to support compliance with legislative obligations.
  • Acts as the operations champion for ICT systems, ensuring staff receive up‑to‑date training and support. Key Responsibility Areas

  • Providing high‑quality administrative support to the General Manager, senior managers, team leaders,

and operations staff. * Supporting Senior Leadership Team (SLT) meetings through the preparation and distribution of agendas

and minutes, including the recording, tracking, and delegation of actions, and liaising with relevant

internal stakeholders. * Preparing, organising, and disseminating documentation as required, maintaining a high level of accuracy

and attention to detail. * Providing expert support to the business unit in the corporation’s records management system (Content

Manager) and acting as an administrator for the operations records management system. * Assisting in the preparation, review, and issuance of new and revised business control documents

relevant to operations. * Providing mentoring and guidance to new staff in the use of Content Manager and business unit

document management systems. * Assisting with raising and receipting purchase orders for goods and services in accordance with

corporate requirements. * Supporting the procurement of major plant and fleet assets. * Assisting with the collection, maintenance, and management of fleet and major plant data, including

through spreadsheets, to support capital budget delivery and reporting.

Organisational Relationships

This role reports to the Operations Business Advisor and liaises with all internal stakeholders, peers in water corporations or

local government, government agencies and members of the public.

Accountability and Extent of Authority

  • Accountable to the Operations Business Advisor.
  • Provision of accurate and timely information to internal and external stakeholders.
  • The freedom to act is governed by policies, objectives and budgets with a regular reporting mechanism

to ensure achievement of goals and objectives.

  • Accountable for the carrying out of works in accordance with the Environmental Management System, Occupation Health and Safety and other personnel practices.

Judgement and Decision Making

  • Ability to exercise sound judgement and decisions in line with broader corporation goals and objectives.
  • Ability to solve problems with limited guidance, using procedures and guidelines.

  • Guidance and advice is usually available within the time required to make a choice. Specialist skills and knowledge

  • Advanced computer skills, including proficiency in the Microsoft Office suite, electronic document management

systems, and calendar‑based applications. * Demonstrated proficiency in the use of multiple systems, with the ability to quickly learn and adapt to new systems.

Experience using TechOne, AMIS, and Content Manager is highly regarded, along with the capability to coach and

support others in their use. * Well‑developed written and verbal communication skills, with the ability to communicate professionally across all

levels of the organisation. * Demonstrated planning and organisational skills, including the effective use of resources in a cost‑effective manner. * Knowledge of, and familiarity with, budgeting principles and relevant organisational financial procedures. * An understanding of the function of the position within

procedures.

Management Skills

  • Demonstrated self‑management skills, including effective time management and organisational capability to

achieve set and specific objectives within a set timetable. * Excellent ability to plan, prioritise, and organise personal workloads and, where appropriate, support team

coordination to ensure adequate operational coverage. Interpersonal Skills

operational staff to senior management. * Ability to clearly communicate new procedures and gain stakeholder understanding, cooperation, and ongoing

outcomes. * Demonstrated experience working effectively with a broad range of internal and external stakeholders. * Excellent written and verbal communication skills, with the ability to convey information clearly and

professionally.

Qualifications and Experience

  • Relevant qualification (administration, water operations, procurement or similar) with relevant experience in a

similar role; or extensive experience in a similar role. * Experience providing high level support in a corporate or operations environment.
