Duties

  • Collaborate with clients to understand their vision and translate it into detailed event plans, including venue selection, catering, entertainment, and décor.
  • Negotiate contracts with vendors such as caterers, decorators, entertainment providers, and venue managers to secure the best terms and services.
  • Coordinate all event logistics from initial planning through execution, including scheduling, staffing, setup, and breakdown.
  • Manage budgets meticulously by tracking expenses, controlling costs, and upselling additional services or upgrades to enhance the event experience.
  • Oversee event marketing efforts to promote events effectively through various channels and ensure maximum attendance.
  • Provide exceptional guest services by addressing attendee needs promptly and professionally during events.
  • Ensure compliance with health and safety regulations while managing catering arrangements, banquet setups, and hospitality services.
  • Maintain clear communication with clients, vendors, venues, and team members to ensure seamless event operations.
  • Handle contracts carefully to secure necessary permits and agreements while managing cancellations or changes efficiently.
  • Conduct post-event evaluations to gather feedback for continuous improvement.

Experience

  • Proven experience in event planning or management within hospitality, restaurant, hotel, or fundraising environments.
  • Strong negotiation skills with a track record of securing favorable vendor agreements.
  • Familiarity with event marketing strategies and upselling techniques to maximize revenue opportunities.
  • Experience coordinating large-scale events such as banquets or conferences with attention to detail in budgeting and logistics.
  • Excellent customer service skills with the ability to manage guest relations professionally.
  • Demonstrated proficiency in time management and organizational skills to handle multiple projects simultaneously.
  • Knowledge of contracts, catering operations, banquet setups, and hospitality standards is highly desirable.
  • Previous experience working in restaurant or hotel settings will be considered an asset.
