Job Description

The Store Keeper will maintain accurate control over all materials entering and leaving the factory, ensuring that production teams receive the correct materials at the correct time and that stock records remain accurate.

The role will involve close coordination with:

Procurement → Stores → Production Planner → Production → QA/QC → Project Teams → Logistics

The ideal candidate should have previous experience in a joinery, furniture, fit-out, construction, or manufacturing environment.

Key Responsibilities1. Receiving Materials

  • Receive incoming materials, hardware, consumables, and equipment.
  • Verify deliveries against Purchase Orders, delivery notes, and material requirements.
  • Check quantities, specifications, dimensions, brands, colours, finishes, and physical condition.
  • Report shortages, damages, incorrect materials, or discrepancies immediately.
  • Coordinate with Procurement regarding delivery discrepancies.
  • Ensure received materials are properly recorded in the inventory system.

2. Material Storage \& Organization

  • Maintain an organized and clearly labelled stores area.
  • Store materials according to type, project, specification, and usage.
  • Ensure materials are protected from damage, moisture, dust, and improper handling.
  • Maintain proper storage for:
  • MDF
  • Plywood
  • Veneer
  • HPL
  • Laminate
  • Solid wood
  • Edging
  • Hardware
  • Adhesives
  • Paint/finishing materials
  • Fasteners
  • Tools
  • Consumables
  • Maintain proper identification and labelling of stock.

3. Material Issuing to Production

  • Issue materials to production only against authorized Material Requests / Material Issue Notes.
  • Verify the correct material, quantity, specification, and project before issuing.
  • Maintain records of all materials issued to each project or production order.
  • Coordinate with the Production Planner and Production Supervisors regarding upcoming material requirements.
  • Ensure production does not receive incorrect or unapproved materials.

4. Inventory Control

  • Maintain accurate stock records for all materials.
  • Conduct regular physical stock counts.
  • Reconcile physical stock against system records.
  • Investigate stock discrepancies.
  • Identify slow-moving, excess, damaged, and obsolete materials.
  • Maintain minimum and maximum stock levels for frequently used materials.
  • Inform Procurement when stock levels approach minimum requirements.

5. Project-Wise Material Control

  • Maintain clear records of materials allocated to individual projects.
  • Track material consumption against project requirements where applicable.
  • Ensure project-specific materials are not incorrectly issued to other projects.
  • Maintain records of leftover materials after project completion.
  • Coordinate with Project Managers regarding project-specific material requirements.

6. Procurement Coordination

  • Monitor pending purchase orders and expected deliveries.
  • Coordinate with Procurement regarding upcoming material requirements.
  • Highlight materials that have not been received and may affect production.
  • Inform Procurement of low-stock and critical materials.
  • Assist Procurement in verifying delivered quantities and specifications.

7. Production Coordination

  • Work closely with the Production Planner to understand upcoming production requirements.
  • Prepare materials in advance for scheduled production.
  • Ensure required materials are available before production starts.
  • Highlight shortages that may cause production delays.
  • Coordinate urgent material requirements with the Factory Manager and Production Planner.

8. Tools \& Consumables

Maintain control over factory tools and consumables, including:

  • Hand tools
  • Power tools
  • Cutting tools
  • Drill bits
  • Blades
  • Sandpaper
  • Screws
  • Nails
  • Adhesives
  • Sealants
  • PPE
  • Cleaning materials
  • General workshop consumables

Track issuance and replacement of controlled tools and equipment.

9. Stock Counting \& Auditing

  • Conduct daily/weekly cycle counts for critical materials.
  • Conduct monthly physical inventory counts.
  • Investigate differences between physical and recorded quantities.
  • Maintain inventory count sheets and reconciliation reports.
  • Support management during internal stock audits.
  • Ensure proper documentation for stock adjustments.

10. Warehouse Housekeeping \& Safety

  • Maintain a clean, organized, and safe stores environment.
  • Ensure materials are stacked and stored safely.
  • Maintain clear access routes.
  • Follow factory health and safety requirements.
  • Ensure hazardous materials such as adhesives, paints, and chemicals are stored appropriately.
  • Prevent unnecessary material damage and wastage.

11. Documentation

Maintain accurate records including:

  • Goods Received Notes (GRN)
  • Delivery Notes
  • Purchase Orders
  • Material Issue Notes
  • Material Return Notes
  • Stock Transfer Records
  • Stock Count Sheets
  • Inventory Reports
  • Damaged Material Reports
  • Material Rejection Records

Pay: AED1,500.00 - AED2,500.00 per month
