Job Description

About the client:

The client is a Bursa Malaysia Main Market-listed investment holding company, specialising in integrated water, wastewater, and environmental solutions, with core businesses spanning water and wastewater engineering, construction, facilities management, plantation, and property development.

Job Responsibilities:

  • Provide comprehensive administrative and secretarial support to the Executive Chairman.
  • Manage complex calendars, appointments, meetings, and scheduling with tact, diplomacy, and discretion.
  • Draft, edit, and proofread letters, documents, emails, reports, and proposals, ensuring timely follow-up on all matters requiring responses.
  • Handle confidential correspondence, reports, and sensitive information with a high level of professionalism and confidentiality.
  • Coordinate travel arrangements, including flights, accommodation, transportation, and visa applications.
  • Occasionally travel with the Executive Chairman to provide on-site support and assistance when required.
  • Screen and manage phone calls, emails, visitors, and incoming correspondence on behalf of the Executive Chairman.
  • Prepare meeting agendas, presentations, minutes, and follow-up action items.
  • Coordinate internal meetings, luncheons, coffee sessions, and company events.
  • Oversee event logistics and ensure the smooth execution of in-house functions and meetings.
  • Welcome and attend to clients, guests, and business associates professionally.
  • Handle office administration tasks, personal errands, and ad-hoc assignments as required.
  • Liaise professionally and confidentially with internal departments, external stakeholders, and business partners.
  • Prioritize tasks effectively and manage urgent matters within tight deadlines.
  • Collate, organize, and manage the flow of information internally and externally.
  • Maintain strict confidentiality while interacting professionally with all levels of management, staff, clients, and business associates.

Job Requirements:

  • Bachelor’s Degree in any discipline with more than 5 years working experience as Personal Assistant to the Director/Senior Management.
  • Possessed valid driving license (D).
  • Ability to multitask and remain motivated and positive.
  • Experience in handling travel arrangement and personal errand is a must.
  • Preferred Language: English and Malay. Ability to converse in Mandarin would be an advantage.
  • Must demonstrate a can-do attitude.
  • Must be able to complete tasks thoroughly and accurately, sometimes with little direction.
  • Ability to read and interpret various documents.
  • High level of interpersonal skills to interact with co-workers and executives.
  • Demonstrate highest level of ethics and ability to maintain confidentiality at all times with all situations and documentation.
  • Demonstrate strong knowledge and extensive use of Microsoft Office.
  • Committed with job and able to work during weekend / odd hours.
  • Able to start immediately will added advantages.
