Under the general supervision of the Recreation \& Events Supervisor, this position is responsible for planning, coordinating, and implementing assigned City-sponsored special events, festivals, ceremonies, races, and community engagement activities. This position supports comprehensive event plans that enhance community engagement and the overall guest experience while ensuring events are safe, successful, and well executed. Working collaboratively with the Special Events team, city departments, vendors, and community partners, this role also compiles, analyzes and reports event-related data to support planning and continuous improvement. The position requires flexibility to work evenings, weekends, holidays, and extended hours as needed to support event operations. Essential Functions/Knowledge, Skills, \& Abilities

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage assigned components of the overall development, planning, coordination, and implementation of events for the City of McKinney Parks and Recreation.
  • Assists with sponsorship asset and benefit proposals/agreements.
  • Implements, develops, recommends, and coordinates administrative tasks and procedures in the areas of event management, including pre and post event planning.
  • Works with Communications/Marketing team to ensure appropriate branding and messaging objectives are met, and provide information for website, promotional literature, and social media for all events.
  • Provides a consistent positive experience for all attendees and vendors.
  • Develops, administers, monitors and coordinates budgets for assigned events; purchases equipment and supplies.
  • Assists in developing and maintaining a timeline for assigned event duties.
  • Develops and monitors event budgets for assigned events.
  • Prepares requisition and oversees procurement for supplies and equipment related to event production.
  • Assists with RFP/RFQ’s for all necessary contracts related to special events.
  • Attends city sponsored events working evenings, weekends, and holidays as required while maintaining a calm, professional demeanor in fast-paced and high-pressure environments.
  • Compiles, analyzes and maintains event, contact databases, and a variety of internal and external reports using multiple software applications.
  • Coordinates and supports City-sponsored special events, festivals, ceremonies, races, and community engagement activities by collaborating with City departments, vendors, and community partners to ensure successful event planning and execution.
  • Coordinate special event rentals, including calendar management, inquiries, scheduling, and logistics, under the direction of the Special Events Supervisor.
  • Complies with all written City policies and procedures and assigned work schedules while maintaining reliable attendance.

Required Qualifications

MINIMUM QUALIFICATIONS

Any work-related experience resulting in acceptable proficiency levels in the below Minimum Qualifications may be an acceptable substitute.

Bachelor's degree in Parks and Recreation, Event Management, Hospitality Management, Public Administration, Business Administration, Communications, Tourism, or a closely related field, supplemented by two (2) years of event management and sales in a multi-purpose / use facility, event planning, hospitality, and sales management.

Must be available to work evenings, weekends, holidays, and extended hours as required.

CONDITIONS OF EMPLOYMENT

  • Must pass a drug screen and background check.
  • Must have Class C Texas Driver’s License.

Physical Demands/Supplemental

PHYSICAL DEMANDS

Work is performed in a combination of office and outdoor environments with light to occasionally moderate physical effort. Some tasks require visual and sound perception and discrimination and oral communications ability. Must be able to lift up to 50 pounds. WORK ENVIRONMENT
