About the Role

● Safe Height Pty Ltd trading as SAFE MOUNT are a specialist provider of Height Safety Compliance Solutions across SEQ. Our services include System Design, Installation of Height Safety Systems, Certification and Audit, as well as Harness & PPE Inspection services. Due to continued growth, we are seeking an experienced Project Administrator to support the planning, coordination and administration of multiple concurrent projects and service programs for the existing and new clients. The role requires regular travel along southeast Queensland between various projects with possible interstate trips. This role suits a highly capable, analytically-minded professional — potentially with an engineering, scientific, mining or other complex industrial background — who can quickly learn technical and regulatory frameworks, interpret data and adapt across multiple concurrent, complex projects as per various customers’ requirements.

Skills & Experience

● Tertiary qualification in a technical, engineering, scientific, project management, business or related discipline.

● Background in engineering, construction, mining, resources, manufacturing or other complex industrial/technical sectors will be highly regarded.

● Minimum 3 years’ experience in project coordination, project administration, project controls or similar project support roles.

● Demonstrated experience managing interfaces between clients, contractors, suppliers and technical professionals.

● Experience coordinating projects involving technical design, site installation works, contractor management and regulatory compliance requirements.

● Experience in schedule monitoring, progress tracking and project performance reporting.

● Experience in communication with different levels of stakeholders from site labour to decision makers in the client's procurement team

● Experience supporting project change management and contract variation processes.

● Advanced Microsoft Excel skills including reporting, forecasting, data analysis and performance tracking.

● Excellent written and verbal communication skills.

● Strong analytical and organisational abilities.

● Demonstrated ability to rapidly learn, analyse and apply new technical, regulatory and operational information across complex, fast-moving project environments.

● Reading CAD drawings and liaising with Design Project managers and Development Managers

Main Duties / Responsibilities

● Coordinate and administer height safety compliance inspection programs, system installation projects, and design services.

● Develop, maintain and review project schedules, work programs, resource plans and project documentation.

Prepare and coordinate tender documentation, service agreements, work orders and contract documentation, ensuring project requirements, pricing, scope changes and approvals are accurately recorded throughout the project lifecycle.

Coordinate day-to-day communication and workflow between clients, engineers, contractors, installers, inspectors and suppliers to ensure activities are delivered safely, efficiently and in accordance with project schedules.

● Monitor project and service delivery performance against contractual requirements, compliance obligations and client expectations.

Act as a key point of contact for clients, contractors and suppliers by coordinating responses to project enquiries, facilitating communication between stakeholders and assisting with the timely resolution of operational issues.

Maintain accurate electronic project records, inspection reports, certification documentation, drawings, registers and compliance documentation to support project delivery and audit requirements.

Compile project performance information from multiple operational sources, analyse trends and prepare management reports covering project progress, productivity, compliance performance and service delivery outcomes.

● Support project change management processes, including assessment, documentation and tracking of project variations.

Monitor contractor activities against agreed schedules, scopes of work and project milestones, identifying delays, quality concerns or scope changes requiring management review.

● Support procurement and subcontractor coordination activities.

Prepare project documentation including client reports, operational summaries, project status updates, meeting papers and internal business documentation to support decision-making.

Provide project support to senior management by monitoring project risks, escalating critical issues, coordinating follow-up actions and assisting with implementation of operational decisions.

● Identify delivery risks, compliance issues and operational constraints that may affect project schedules or client commitments.

● Coordinate height safety inspection, installation and certification activities to ensure compliance with regulatory and client requirements.

● Monitor contractor performance and support continuous improvement initiatives across projects and service programs.

Experience

● To be considered for this role, applicants must demonstrate a minimum of 3 years’ experience in project coordination, project administration, project controls or similar project support roles within engineering, construction, industrial services, infrastructure, compliance or other relevant technical service environments.

Other Requirements

● Current, open driver’s licence, with willingness to travel regularly across South East Queensland and occasionally interstate.
