Program Coordinator (Short Courses)

We are seeking a Program Coordinator (Short Courses) to support the delivery of high-quality learning and engagement activities across the Mekong subregion. The role will coordinate Masterclasses, Regional Dialogues, and other Leadership and Skills initiatives, ensuring smooth implementation, strong stakeholder engagement, and positive participant experiences.

Working with government partners, education providers, alumni, and regional stakeholders, you will support inclusive programs that strengthen regional collaboration and contribute to Australia’s development and diplomatic objectives. Mekong-Australia Partnership Support Unit (MAP)

The Mekong-Australia Partnership Phase 2 Support Unit (MAP SU), funded by the Australian Government’s Department of Foreign Affairs and Trade (DFAT), aims to provide efficient and effective support and enabling services, and delivery of selected MAP activities as directed by the Mekong Hub at the Australian Embassy in Bangkok, Thailand to ensure that Australia is a trusted and reliable partner in supporting a resilient, inclusive and sustainable Mekong subregion.

MAP SU delivers the Leadership and Skills program and enabling services for the Transnational Crime (MAP-TNC) program. It also supports programming by providing administrative, logistical and/or technical support and assistance in the execution of parts of MAP such as organising events, conducting training or managing specific components.

About The Role

The Program Coordinator (short courses) is responsible for coordinating the operational delivery of MAP SU’s Masterclasses (short courses), Regional Dialogues and Mekong subregion related events. The role focuses on supporting logistical planning, participant mobilisation, coordination with local and regional stakeholders, event implementation, and post-event reporting. The Program Coordinator assists the Short Course Manager in ensuring Masterclasses, learning activities, and events are inclusive, effective and aligned with DFAT’s development and diplomatic objectives.

The role also supports broader Leadership and Skills outreach and alumni participation in short courses, particularly where activities link to MAP's regional networks, thematic priorities, or high-level public diplomacy efforts.

Key Responsibilities

Program Coordination and Support

• Support the delivery of Masterclasses and other leadership programs, including participant communications, applications, and mobilisation activities.
• Coordinate event logistics such as travel, venues, accommodation, catering, communications, and registration processes.

Monitoring and Reporting

• Collect and analyse participant feedback, success stories, and evaluation data to support reporting requirements.
• Contribute to compliance and performance reporting, including participant database management and program indicator tracking.

Communications and Outreach

• Support the planning and delivery of outreach activities, including procurement and implementation.
• Coordinate the development, review, and tracking of communications products and materials.
• Ensure all communications align with DFAT and program branding and communications standards.

Administration, Logistics and Financial Management

• Provide administrative support, including meeting coordination, record management, and visitor logistics.
• Deliver logistical and operational support across Leadership and Skills program activities.

Inclusion, Safeguarding and Compliance

Apply safeguarding, child protection, PSEAH, fraud prevention, and WHS requirements across all activities.

About You

Qualifications and Experience

• A tertiary qualification in international development, communications and event management, public administration, or a related field.
• Demonstrated experience coordinating or supporting training programs, alumni activities, or capacity-building events in a development or government context.
• Experience in communications and outreach in a development or government context is an asset.
• Familiarity with DFAT policies and Australian development program environments is desirable.

Knowledge and Skills

• Strong organisational and communication skills with the ability to manage multiple priorities and engage diverse stakeholders.
• High attention to detail, with experience managing workflows and confidential information.
• Proficiency in Microsoft Office Suite, SharePoint, event registration systems, and reporting templates.
