Core Responsibilities
- Calendar \& Meeting Management: Scheduling appointments, managing complex diaries, and coordinating meetings, often acting as a gatekeeper for access to the executive.
- Correspondence Handling: Screening phone calls, managing emails, and drafting letters or reports on behalf of the manager.
- Travel Logistics: Planning detailed domestic and international itineraries, including booking flights, hotels, and arranging visas.
- Meeting Support: Preparing agendas, attending meetings to take accurate minutes, and following up on action items.
- Personal Assistance: Running personal errands, managing home-related tasks, and organizing personal commitments like social activities or family travel.
- Administrative Systems: Maintaining organized digital and physical filing systems, managing databases, and tracking expense
Essential Skills
- Discretion: Maintaining strict confidentiality regarding sensitive business and personal matters is paramount.
- Communication: Exceptional verbal and written skills for liaising with high-level stakeholders and clients.
- Organization: The ability to multitask, prioritize under pressure, and manage a manager's time effectively.
- Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, Outlook, PowerPoint) and various digital scheduling or collaboration tools.
- Proactivity: Anticipating the employer's needs and resolving potential issues before they arise
