The impact of your role

You will be responsible for ensuring the efficient execution of Marketing administrative and logistics operations, supporting the daily coordination of materials, suppliers, tradefairs, events, cost control and internal processes. Your contribution will be essential to maintaining organization and driving operational excellence across the SWE Marketing team.

Main responsibilities

• Provide administrative and operational support to the Global Marketing Department.
• Coordinate the ordering, stock management, storage and distribution of marketing materials and merchandising items.
• Manage logistics activities related to marketing materials, samples, and promotional assets, ensuring timely deliveries.
• Process purchase orders, costs registration (for budget control propose) and related administrative activities through several internal IT applications.
• Maintain accurate records, reports and inventories of marketing materials and merchandising stock.
• Coordinate with internal stakeholders and external suppliers regarding production, deliveries and operational requirements.
• Support the organization of tradeshows and events, assisting with suppliers & internal briefings, suppliers sourcing & coordination, logistics, , catering arrangements, materials preparation, administrative follow-up and logistic tasks.
• Assist in obtaining quotations and coordinating external vendors, including agencies, printers, translators, merchandising suppliers and other 3rd party venders.
• Ensure operational follow-up of marketing activities and support the team with day-to-day administrative tasks.

Desired profile

What you must have:

• High school diploma (12th grade) required;
• Minimum of 3 years' experience in administrative support, coordination, logistics, marketing operations or similar operational support functions, preferably in a multinational environment.
• Fluent in Portuguese, English and Spanish.
• Advanced user of Microsoft 365 tools;
• Strong organizational and multitasking skills, with the ability to manage several requests simultaneously;
• Clients oriented with high focus to detail and quality standards;
• High attention to detail and strong follow-up skills;
• Availability to travel occasionally, depending on business requirements (events & trade fairs).

What we consider a nice to have:

• Additional education in Business Administration, Office Management, Marketing, Communication or a related field is a plus.
• Experience with SAP, Ariba, Salesforce or similar business systems is considered an advantage.
