Job Description

Position Overview

The role is responsible for conducting end-to-end employee lifecycle services under HR Shared Service Center (HRSS). This includes onboarding, job and organizational changes, employment data maintenance, and offboarding processes. The role ensures standardized, compliant, and efficient HR transactions in plant while continuously enhancing service quality and employee experience

Key Responsibilities

Employee Lifecycle Management

1. Onboarding \& Probation Management

  • Manage end-to-end onboarding processes including offer details validation, employment contract administration, HR system setup, and document verification
  • Coordinate pre-boarding and day-one activities such as medical examination arrangements, onboarding documentation, and system access requests
  • Manage probation period administration, including probation tracking, confirmation reminders, and conversion processing
  • Ensure probation-related processes comply with company policies and local labor regulations

2. Employee Changes \& Ongoing Services

  • Execute and maintain employee job changes, organizational updates, and internal or inter-entity transfers
  • Manage employment contract amendments and related data updates resulting from employee changes
  • Assist employees with employment-related administrative services, including payroll bank account setup and maintenance

3. Employee Data \& Records Management

  • Maintain, validate, and control employee master data changes in HR systems
  • Ensure employment records (electronic and/or physical) are complete, compliant, and audit-ready
  • Conduct regular data quality checks to support accuracy and quality metrics

4. Employee Support \& Certification Services

  • Act as the HR services point of contact for employee inquiries across onboarding, employment, and offboarding stages
  • Prepare, issue, and manage employment-related certificates and confirmation letters in accordance with company policy
  • Ensure certification issuance is accurate, timely, and properly approved

5. Offboarding \& Post-Employment Administration

  • Manage end-to-end offboarding processes including HR system updates, documentation, and cross-functional coordination
  • Coordinate final payroll settlement, benefits termination, bank information validation, and IT access deactivation
  • Ensure offboarding activities are compliant with internal controls and local labor laws

6. New Hire Orientation \& Training Support

  • Support the organization and coordination of new hire orientation and onboarding training programs
  • Coordinate training logistics, participant enrollment, and training record maintenance in HR systems
  • Ensure onboarding training data is complete and reportable for audit and management purposes

7. HRSS Operations \& Compliance

  • Ensure HR transactions comply with global and local HR policies and labor laws
  • Support internal/external audits and compliance reviews
  • Keep eyes on service metrics (e.g. SLA, accuracy, turnaround time) and drive continuous improvement
  • Drive process standardization, automation, and system enhancements

Education

  • Bachelor’s degree or above in HR or related fields

Experience

  • 3 years above employee lifecycle management related experience in manufacturing industry, Shared Services experience is preferred
  • Experience supporting multinational or multi-country HR operations is preferred
