We are looking for a highly organized and detail‑oriented Wedding Events Estimator to join our team. This role is essential in transforming creative wedding concepts into accurate, well‑structured budgets and cost proposals. You will work closely with company owners, designers, production teams, and vendors to ensure every wedding is financially feasible, competitively priced, and executed to the highest standard.
The ideal candidate has strong analytical skills, excellent vendor negotiation abilities, and experience in the events or wedding industry.
Key Responsibilities
Cost Estimation \& Budgeting
- Prepare detailed cost estimates for weddings and related event setups.
- Break down costs for décor, florals, staging, lighting, sound, AV, furniture, logistics, and staffing.
- Develop itemized budgets and pricing sheets for internal teams and client proposals.
- Analyze client requirements and translate creative concepts into accurate financial plans.
Vendor \& Supplier Coordination
- Source, evaluate, and negotiate quotations from vendors and suppliers.
- Compare vendor proposals to ensure competitive pricing and quality standards.
- Track vendor performance and update pricing records regularly.
Project Coordination \& Support
- Collaborate with company owners, planners, designers, and production teams to align budgets with event concepts.
- Provide cost‑effective alternatives and recommendations when needed.
- Support the sales team by preparing accurate quotations, BOQs, and proposal documents.
- Assist in preparing tender submissions and client presentations.
Financial Tracking \& Reporting
- Monitor actual project costs versus estimated budgets.
- Prepare post‑event cost reports and profitability analyses.
- Identify cost variances and recommend improvements for future events.
Risk Assessment \& Feasibility
- Identify potential risks related to cost, logistics, or vendor availability.
- Evaluate feasibility of event concepts based on budget constraints.
- Recommend contingency plans and cost‑saving strategies.
Qualifications \& Requirements
Education \& Experience
- Bachelor’s degree in Events Management, Business, Finance, or a related field (preferred).
- Proven experience as an Estimator in the events, wedding and production
- Strong understanding of wedding décor, florals, staging, AV, and event logistics.
Skills \& Competencies
- Excellent numerical and analytical skills.
- Strong negotiation and vendor management abilities.
- Proficiency in MS Excel, budgeting tools, and cost‑estimation software.
- Ability to read event layouts, mood boards, and technical specifications.
