Job Description: Chief Accountant
The Chief Accountant will oversee the financial and accounting operations of AZCS and its associated entities. This role combines high-level strategic financial planning, team leadership, risk/compliance management, and rigorous hands-on operational control over accounts receivable, budgeting, property management, and inter-company systems alignment.
Key Responsibilities
- Head the AZCS Accounts Department. Train, upskill, and cross-train team members to ensure seamless multitasking and coverage during employee leaves.
- Partner with the AZCS management team on day-to-day operations and strategic decisions. Present strategies to improve efficiency, reduce costs, and maximize profitability.
- Assist the President in managing Tree of Life / Afnan Flowers. Conduct regular meetings, performance reviews, and provide constructive feedback to the manager and team.
- Prepare accurate weekly sales reports, monthly/annual financial statements (balance sheets, income statements), and detailed financial analysis.
- Maintain the general ledger, perform full account reconciliations, manage deferred charges, interest journal entries, and compile the Schedule of Fixed Assets with depreciation.
- Fully utilize the ERP system to present timely MIS reports. Finalize and match data between Sage and Odoo systems once entries are complete. Resolve any backlog bank reconciliations.
- Control expenditures and constantly optimize procedures to shorten transaction times without compromising company interests.
- Assess and issue customer credit codes based on management-approved limits. Check profit margins before quotations are sent to customers (ensuring below-budget margins receive explicit management approval).
- Monitor, maintain, and manage the accounts receivable ledger. Actively contact customers regarding overdue invoices, manage collection efforts, and issue formal collection letters/statements.
- Track customer counter readings. Maintain monthly lease computation records and generate monthly lease invoices, IT invoices, Copy Center invoices, and other non-itemized billings.
- Oversee daily bank checking, enter receipts, and ensure all bank transactions are accurately recorded. Perform monthly bank reconciliations to resolve discrepancies with company records.
- Handle total cost of ownership (TCO) computations, commercial quotations, and tender costings. Open and settle all Letters of Credit (L/Cs) for the AZCS group of companies.
- Monitor stock levels against market trends, seasons, and import lead times to maintain healthy inventory levels. Alert management proactively to liquidate slow-moving or obsolete stock.
- Ensure strict compliance with tax regulations by accurately calculating and filing VAT returns, maintaining records, and reconciling VAT accounts.
- Act as the primary liaison for external auditors. Prepare documentation, respond to audit queries, and implement corrective actions raised in the auditor's management letter.
- Manage day-to-day accounts for Al Zayani Commercial Services, Kone, and Tree of Life (including preparing Tree of Life entries in coordination with Mr. Mohideen Muhammedkutty). Handle RICOH product consultations/accounting upon successful TCO training.
- Partner with real estate agencies to lease vacant spaces. Ensure lease contracts protect the owners' interests and comply fully with Bahrain law.
- Collect rent timely and settle owner dues promptly. Present strategic plans and budgets for building maintenance/renovations while ensuring service providers are on valid, cost-effective contracts.
- Train on alternative tasks within AZCS as directed by management.
- Perform other related tasks as assigned by the direct supervisor.
