The role is based at DroneShield’s central Sydney headquarters. Overseas on-the-ground presence includes Virginia (USA), Netherlands, Denmark, Mexico and Dubai, as well as distributors in over 70 countries worldwide.
About the role
DroneShield is seeking an Asset \& Internal Demand Co Ordinator with relevant experience to join the team in Sydney, NSW.
The position will report to the Supply Chain \& Operational Planning Manager.
The Asset \& Internal Demand Coordinator is responsible for the end-to-end co ordination, visibility and optimisation of internal physical assets used across demonstrations, training, R\&D testing, evaluation and spares/repairs.
Responsibilities, Duties and Expectations
Asset Utilisation \& Tracking
- Maintain accurate, real-time visibility of all internal demo, training, R\&D, evaluation and service assets
- Track asset status including availability, location, condition, utilisation and lifecycle stage
- Monitor utilisation rates and identify under-used, over-allocated or constrained assets.
- Ensure asset records are maintained accurately within asset management or ERP tools.
Internal Demand \& Allocation Management
- Act as the central point of coordination for all internal asset demand requests across global teams.
- Prioritise and allocate assets based on business impact, urgency, strategic value and availability.
- Balance competing global demands from sales, marketing, engineering, services and training teams.
- Develop and maintain fair, transparent allocation rules and escalation paths where conflicts arise.
Scheduling \& Logistics Coordination
- Coordinate asset schedules to support; customer demonstrations, global training programmes, R\&D testing and evaluation, Internal trials and validation activities
- Work with logistics, service and regional teams to plan shipping, customs clearance and return timelines.
- Minimise downtime by optimising scheduling, transitions and turnaround times.
- Spares, Repairs \& Asset Readiness
- Coordinate the movement of assets requiring repair, refurbishment, recalibration or upgrade.
- Work with various teams to ensure assets meet functional and quality standards before redeployment.
- Track repair cycles, costs and failure trends to inform asset lifecycle decisions.
- Ensure critical spares are available to support demo continuity and business-critical activities.
Reporting \& Continuous Improvement
- Produce regular reports and dashboards covering;
- Asset utilisation and availability
- Scheduling conflicts and bottlenecks, Repair cycles and asset health
- Identify opportunities to improve asset efficiency, reduce duplication and optimise inventory levels
- Support business cases for new asset builds or re dployments.
- Enforce asset governance policies and usage standards globally.
- Act as a trusted coordinator and problem-solver during high-pressure demo or launch cycles

- High internal customer satisfaction with asset availability and co ordination
- Improved asset utilisation and reduced idle time, reduced scheduling conflicts and last-minute escalations
- Accurate, reliable asset data and reporting
- Reduce total asset holding and repair costs
Qualifications, Experience and Skills
- Strong experience in asset coordination, demand planning, or operational scheduling
- Ability to manage complex schedules across multiple time zones
- Comfortable working with ERP, asset management, or scheduling systems
- Strong data analysis and reporting capability (Excel, BI tools desirable)
- Confident communicator with senior stakeholders and cross-functional teams
- Able to manage competing demands in a fast‑paced, deadline‑driven environment
- Highly organised with exceptional attention to detail
- Calm and effective under pressure, particularly during global demo peaks
- Customer-oriented with a strong sense of ownership and accountability
- 3–7 years’ experience in operations, asset management, supply chain, logistics, or commercial operations
- Exposure to global operations and international logistics highly valued.
- Relevant tertiary qualification in Operations, Engineering, Supply Chain or Business (desirable))
