One Fitout is a Dubai-based fit-out company specializing in residential and commercial interior renovations. We handle projects from concept and design to full execution and handover, delivering high-quality spaces with a strong focus on detail, coordination, and client experience.
As our team continues to grow, we are looking for an experienced and highly organized Admin Coordinator / Project Administrator with a background in fit-out projects to support our operations and project coordination team.
Job Responsibilities
- Handle project administration from inquiry stage to project handover
- Coordinate with clients, designers, project managers, suppliers, subcontractors, and site teams
- Prepare quotations, invoices, contracts, LPOs, BOQs, and project-related documentation
- Track project timelines, approvals, material updates, and site progress
- Maintain organized records and filing systems for residential and commercial projects
- Schedule meetings, site visits, deliveries, and project updates
- Follow up with suppliers and subcontractors regarding materials, quotations, and deliveries
- Ensure smooth communication between all departments involved in each project
- Assist management with reports, coordination, and operational support
- Support project completion and handover documentation
Requirements
- Minimum 1 year experience in a fit-out, interior design, or construction company
- Strong understanding of residential and commercial fit-out processes
- Excellent organizational and multitasking skills
- Strong communication and coordination abilities
- Proficient in Microsoft Office and Google Workspace
- Ability to work under pressure and manage multiple ongoing projects
- Attention to detail and strong follow-up skills
- Professional and proactive work attitude
Preferred
- Experience handling Dubai-based fit-out projects
- Familiarity with supplier coordination and procurement processes
- Knowledge of project documentation and administrative workflows within the fit-out industry
