Remuneration: $39.43 - $40.33 per hour + Super

Join the Department of Adolescent and Young Adult Medicine (AYAM) at Westmead Hospital. Our department is one of only two specialist services in Australia focused on delivering developmentally appropriate healthcare to young people aged 15–25 years. We are a specialist service dedicated to supporting the health and wellbeing of adolescents and young adults. The department provides comprehensive care through an outpatient clinic, specialist consultation and liaison services for inpatient teams, and dedicated inpatient admissions. It is actively working to strengthen collaborations with hospitals across the district and enhance partnerships with community youth health services throughout Western Sydney to support coordinated, youth-centred care. What you'll be doing As the Administration Officer, you will provide high-quality administrative and operational support to the AYAM Department, ensuring the efficient delivery of services and a positive experience for patients, staff and stakeholders. This is a varied and fast-paced role that requires exceptional organisation, attention to detail and the ability to manage competing priorities. In this role you will be required to:* Coordinate administration functions including diary management, travel, payroll processing, procurement, invoicing and billing activities. * Deliver professional reception and enquiry management services, appropriately triaging and escalating urgent patient-related matters. * Prepare reports, correspondence, meeting documentation and minutes using NSW Health systems and corporate platforms. * Support the Head of Department and broader team by managing workflows, schedules and key administrative priorities. * Liaise with internal and external stakeholders while ensuring accurate records management and efficient departmental operations.

Selection Criteria:* Relevant qualifications in office support/administration and/or solid experience in providing administrative support, preferably within a healthcare setting. * Excellent written and verbal communication skills. * Demonstrated ability to work independently as well as working with a multi-functional team. * Proven high level organisational skills including the ability to problem solve, prioritise workload, multi-task and meet deadlines. * Demonstrated ability to identify issues of relevance, sensitivity, and confidentiality, to interpret complex information and advice and use discretion in knowing when to escalate matters of importance and/or urgency. * Demonstrated experience in using a variety of software systems, including but not limited to the Microsoft Office suite, as well as relevant database and record management systems experience. * Demonstrated experience in working with clients in highly pressurised environments, preferably within a health setting.
