Job Description

We are seeking a professional, organized, and proactive Admin / Receptionist to manage front desk operations and provide administrative support for company. The ideal candidate should possess excellent communication skills, multitasking abilities, and strong coordination skills to ensure smooth office operations.

Key Responsibilities: Front Desk \& Reception Duties

  • Welcome and assist visitors, clients, suppliers, and staff professionally.
  • Handle incoming phone calls, emails, and inquiries efficiently.
  • Maintain visitor records.
  • Manage meeting room bookings and coordinate appointments.

Administrative Duties

  • Maintain office files, records, and documents systematically.
  • Prepare reports, letters, and other administrative documents.
  • Handle data entry and maintain accurate office databases.
  • Coordinate courier services, incoming/outgoing mail, and deliveries.
  • Monitor and order office stationery and pantry supplies.
  • Support HR and management with daily administrative tasks.

Coordination \& Communication

  • Coordinate with production, warehouse, accounts, and sales departments.
  • Follow up on pending documents, approvals, and office requirements.
  • Communicate with vendors, suppliers, and service providers.
  • Assist in scheduling meetings and preparing meeting minutes.

Office Management

  • Ensure cleanliness and proper maintenance of the reception.
  • Monitor office equipment and arrange maintenance when required.
  • Support company events, staff activities, and internal communications.

Documentation \& Compliance

  • Maintain employee attendance records and leave documentation.
  • Assist in maintaining company licenses and official records.
  • Ensure confidentiality of company information and documents.

Requirements:

  • Bachelor’s degree or diploma in Business Administration or related field.
  • Proven experience as Receptionist, Administrator, or Front Desk Executive.
  • Experience in manufacturing industry preferred.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Good communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and positive attitude.

Preferred Skills:

  • Knowledge of ERP systems is an advantage.
  • Ability to work under pressure and meet deadlines.
  • Basic accounting or document control knowledge preferred.
