Job Description

Job Summary

The Transportation and Purchasing Coordinator is responsible for coordinating the organisation’s transportation services and supporting purchasing activities. This crucial role oversees the daily operations of the school's vehicle fleet and leads the driver team to support the dynamic, fast-paced nature of the school's activities. Additionally, this position acts as the central hub for organizing all local and overseas travel logistics, flights, and accommodations for students, teachers, and staff. Due to the high-volume and high-risk nature of school activities, this role requires exceptional attention to detail, problem-solving skills, and the flexibility to be on standby during critical operations to ensure everything is managed efficiently, accurately, and in line with organisational policies.

Responsibilities

Transportation Management

  • Lead and take full responsibility for the driver team, managing 1 driver supervisor, 1 assistant driver supervisor, and 8 drivers.
  • Manage and coordinate daily operations for the school fleet, which consists of 1 motorcycle, 2 buses, and 9 vans.
  • Coordinate daily transportation services, including school vehicles, drivers, routes, and schedules.
  • Arrange transportation for staff, students, visitors, events, and special activities as required.
  • Monitor vehicle schedules, maintenance, insurance, registration, and other required documentation.
  • Maintain accurate transportation records, including schedules, usage, incidents, and related expenses.
  • Respond promptly to transportation issues and coordinate solutions when changes or emergencies occur, maintaining flexibility to be on standby as school activities demand.

Trips Procurement

  • Research and compare flight options to secure safe and cost-effective travel for all local and overseas school trips.
  • Manage all bookings for accommodations and student activities, working closely with specific departments such as NIST X (field trips) and the Sports department.
  • Coordinate logistics for personal development programs for teachers and staff, collaborating closely with the Teaching and Learning Department.
  • Manage all trip-related expenses, including procuring specialized items, supplies, and equipment required for specific student field trips, as well as handling activity tickets and processing cash advances.
  • Update and maintain records of all orders, payments, and received delivery and services.
  • Source materials, goods, products, and services and negotiate the best or most cost-effective contracts and deals related to travel and transportation.
  • Establish professional relationships with school members as well as vendors and suppliers.
  • Perform all other tasks assigned by the Purchasing Manager.

Qualifications

  • Bachelor’s degree in Business, Logistics, or any related field
  • Experience: At least 3 years of working experience in purchasing or logistics/travel coordination.
  • Leadership \& Demeanor: Calm under pressure, highly skilled at problem-solving, and capable of managing a high volume of requests efficiently.
  • Resilience \& Integrity: Proven ability to make tough, transparent decisions in a high-pressure working environment while maintaining a strong "service mind".
  • Precision: Strong attention to detail and accuracy, which is strictly required to manage the high-risk nature of school trips and student activities.
  • Organization: Well organizational and planning skills, with excellent networking and time management skills.
  • Communication: Good command of English and Thai in written and verbal in both communication \& negotiation.
  • Autonomy: Ability to work independently and manage multiple priorities.
  • Technical Skills: Proficiency in relevant management software programs.
