Job Overview
You will act as the central point of coordination for group travel files, ensuring all elements come together seamlessly. This includes liaising with suppliers, managing client communication, working with Tour Directors and overseeing all operational details.
You will:
- Design and manage complete group travel arrangements
- Coordinate with hotels, transport providers, restaurants, and activity partners
- Communicate clearly and consistently with clients, tour directors and our suppliers
- Maintain accurate passenger records and travel files
- Monitor deposits, payments, and operational deadlines
- Ensure all travel documentation is complete and delivered on time
- Handle changes, updates, and client requests with care and efficiency
- Support issue resolution and ensure a smooth client experience
- Assist with front office support and cross-functional tasks when required
Key Responsibilities
- Act as a primary point of contact for travel clients, providing responsive, professional, and high-quality service across calls, emails, and messages.
- Manage end-to-end coordination of group travel operations, including reservations and confirmations for accommodations, transportation, meals and activities.
- Ensure accurate and timely communication of all travel-related information, including hotel policies, services, and amenities.
- Handle incoming booking requests with efficiency and a strong focus on service excellence and conversion.
- Build and maintain strong client relationships through consistent communication and proactive follow-up.
- Coordinate closely with clients and internal teams to manage group bookings, adjustments, and cancellations.
- Maintain accurate passenger records, including updates and modifications as required.
- Track deposits, payment schedules, deadlines, and operational cut-offs, ensuring timely follow-through.
- Maintain organized, complete, and accurate client files and documentation.
- Prepare invoices and ensure timely delivery of all required travel documents.
- Address and resolve client concerns professionally, ensuring clear communication and effective solutions.
- Provide support to front office operations and participate in cross-functional training as needed.
Job Requirements
- Excellent verbal and written communication skills in English.
- Must be legally entitled to work in Canada.
- Ability to work independently with minimal supervision and take full ownership of assigned files.
- Post-secondary education or equivalent experience in a related field (Travel or Event planning preferred).
- 2-3 years of experience in travel and tourism, preferably with a tour operator.
- Strong organizational skills with the ability to work in a fast-paced, dynamic environment.
- Excellent problem-solving skills, attention to detail, and a proactive, positive attitude.
- Ability to manage stress effectively and adapt to changing priorities.
- Knowledge of Canadian tourism products and geography is an asset.
- Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Experience in customer service within the travel or hospitality industry.
- Strong team player with a commitment to exceeding client and colleague expectations.

Salary offered will be dependant on experience
Pay: $45,000.00-$60,000.00 per year
