We are looking for an Team Administrative Assistant / Receptionist Apprentice to join our Workforce and Organisational Development Directorate. This is an exciting opportunity to work within a busy but supportive team. You will work alongside colleagues, visitors and senior leaders developing valuable administrative and reception skills and experience.
This will be a first step to developing your career within Hywel Dda University Health Board . You don’t need previous experience – what’s most important is a willingness to learn, good organisational and communication skills, and a commitment to living the Health Board’s values in everything you do.
Due to the nature of the work this role will be 100% office based.
Throughout the programme, you’ll be supported to succeed, with regular reviews to check your progress. The first review takes place after 3 months and helps ensure you have the right support, guidance, and encouragement as you develop your skills.
Your salary will increase as you progress and achieve your competencies (subject to Agenda for Change pay reviews). Full details can be found in the attached Information Booklet.
As the first point of contact for the Directorate, you will provide a welcoming and efficient reception service, support day‑to‑day office operations, and help ensure our team functions smoothly.
You’ll have ongoing support from your workplace mentor , college tutors , and the Apprenticeship Academy team , ensuring you’re never learning alone.
As your confidence and knowledge grow, your responsibilities will increase in line with your learning – helping you build a strong foundation for a long‑term career.
Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.
We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.
We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.
Our services are provided in:
Four main hospitals: Bronglais Hospital in Aberystwyth; Glangwili Hospital in Carmarthen; Prince Philip Hospital in Llanelli; and Withybush Hospital in Haverfordwest
Five community hospitals: Amman Valley and Llandovery hospitals in Carmarthenshire; Tregaron Hospital in Ceredigion; and Tenby and South Pembrokeshire hospitals in Pembrokeshire

The main duties will include, but are not limited to:
Provide reception support, including greeting visitors, and answering telephones bilingually
Escort visitors to the appropriate area and ensure security procedures are followed.
Sort, distribute and file incoming mail and deliveries.
Support scheduling by updating calendars and arranging meetings.
Set up meeting rooms and audio‑visual equipment as required.
Administer desk and room booking systems including adding/removing users
Administer access fobs for new starters and retrieve fobs from leavers.
Provide general administrative support, including typing, photocopying, scanning and printing.
Manage stationery supplies and place orders when required.
Act as a designated Fire Marshal and First Aider (training provided).
Support Senior Leadership Team (SLT) administration when require
What are the entry requirements for the Apprentice Programme?
You must be aged 16 years+ in September 2026
Evidence will be required on the Assessment Day of your proposed travel arrangements to facilitate your attendance at Picton Terrace and college for example, if you intend to drive, you will provide your current driving licence as evidence
You must have the current right to work in the UK and have lived in the UK for 3 years
You must be committed to studying and working simultaneously which requires a high level of dedication
You must not be in any formal government-funded education at the time of starting the Apprenticeship Programme
Applicants must meet the standard eligibility criteria for entry onto the foundation apprenticeship programme. Individuals who already hold a degree qualification are not eligible to enrol on this programme.

Once the closing date has passed, those who are successfully shortlisted will be invited to attend an assessment day. The assessment day will comprise of a variety of activities including interview and scenario work. The assessment day will give you a chance to meet Health Board staff including the Apprenticeship Academy Team.
Assessment day will be held on 17th July 2026.
If you are successfully recruited, you will start your employment as an Apprentice with Hywel Dda University Health Board in early September 2026.
