Position Summary

Under the supervision of the Associate Director, the Support Services Coordinator (SSC) plays a key role in the efficient delivery of corporate and contract training courses and programs offered through Continuing Studies \& Corporate Training (CSCT). The SSC also will support delivery of Camp OC on the Penticton Campus during the summer months. Working closely with Program Coordinators and Instructors, this position is responsible for coordinating a range of administrative, scheduling, systems, and student support functions that contribute to the successful delivery of quality learning experiences.

Key responsibilities include supporting the day-to-day operations of corporate and contract programs and courses, preparing schedules and room bookings, tracking and maintaining data in registration systems, assisting with communications to students and instructors, coordinating operations with Camp OC Program Administrator, and monitoring supply and material budgets. The Support Services Coordinator contributes to a positive learner experience and plays an important role in supporting the department’s commitment to quality and responsiveness.

Functions and Duties

1. Program and Course Delivery

  • Coordinates the day-to-day operations of Continuing Studies \& Corporate Training (CSCT) programs and short courses to ensure efficient delivery and positive learner experience.
  • Maintains program schedules, room bookings, and instructor contracts to support accurate and timely program delivery.
  • Oversees day-to-day events and activities of Camp OC during the summer months with support from Program Administrator and Program Coordinator
  • Supports course start-up and close-out activities, ensuring materials, supplies, and administrative requirements are prepared and completed.
  • Contributes to marketing efforts by ensuring course information is accurate and current across digital and print platforms, supporting visibility and enrollment.

2. Instructor, Student, and Stakeholder Support

  • Serves as a primary operational resource for instructors of corporate and contract training, ensuring they have the logistical support, materials, and information required to deliver high-quality learning experiences in safe environments.
  • Supports a positive, inclusive, and safe environment for learners and staff.
  • Provides timely responses to inquiries and ensures accurate communication regarding program schedules, updates, and requirements.
  • Escalates complaints, concerns, or incidents appropriately, in collaboration with Program Coordinators.

3. Data, Reporting, and System Support

  • Compiles enrollment and program data to inform decision-making, program evaluation, and budget planning.
  • Prepares and distributes reports and documentation, ensuring accuracy within departmental requirements.
  • Maintains compliance with college data standards and privacy policies through accurate record-keeping and documentation practices.
  • Troubleshoots and resolves issues in student registration systems, escalating as required, and ensures data integrity across systems to support reliable reporting.

4. Budget and Resource Management

  • Monitors program supply and material budgets for assigned corporate and contract training and youth programming activities.
  • Tracks and reconciles receipts, purchase orders, and related financial documentation to support accurate budget management.
  • Assists with financial reporting and variance tracking in collaboration with the Program Coordinators.

5. Other Duties

  • Performs other duties and assists with special projects as assigned to support the goals of Continuing Studies \& Corporate Training.

Education and Experience

Required:

  • Completion of a diploma in Business Administration, Office Administration, Education, or a related field.
  • Minimum of 2 years of related experience providing administrative, program, or operational support, preferably in an educational or training environment.
  • Experience coordinating schedules, contracts, and logistics to support program or service delivery.
  • Demonstrated experience compiling and analyzing data, preparing reports, and maintaining accurate records.
  • Experience providing front-line support to instructors, students, or clients in a service-oriented environment.
  • Equivalent combination of education and experience will be considered.

Preferred / An Asset:

  • Experience using student information and registration systems such as Destiny One or Banner.
  • Familiarity with supporting marketing or communications activities in a program or service delivery context.
  • Experience supporting youth programming, camps, or child-focused programs

Skills and Abilities

  • Working knowledge of program and course delivery processes in a post-secondary or training environment.
  • Understanding of data integrity principles and information privacy standards.
  • General knowledge of budgeting and financial tracking practices.
  • Strong organizational and time management skills with the ability to coordinate multiple priorities and deadlines.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, Teams) and the ability to learn new digital platforms.
  • Effective verbal and written communication skills for liaising with instructors, students, and internal and external stakeholders.
  • Strong analytical skills to compile, interpret, and present enrollment and program data.
  • Problem-solving and troubleshooting skills to resolve routine issues independently and escalate complex matters appropriately.
  • Demonstrated ability to deliver accurate, timely, and high-quality work with keen attention to detail.
  • Ability to adapt to changing priorities while maintaining focus on service and results.
  • Ability to make decisions quickly and independently
  • Ability to foster positive working relationships with a variety of stakeholders.
  • Ability to exercise judgment and discretion when handling confidential or sensitive information.
  • Ability to contribute to a positive and inclusive learner experience while supporting the goals of the department.
  • Experience working with children and minors and their parents/guardians an asset.
