Sales Operations Administrator Executive
Job Description

1. Sales Administration Support

a)Provide daily administrative support to the Business Development team, including scheduling meetings, coordinating calendars, and handling sales-related documentation.

b)Support the coordination of the Sales War Room, including preparation of materials, meeting arrangements, and follow-up actions.

c) Maintain proper filing and documentation control (physical and server-based) to ensure compliance with company procedures.

2. Sales Documentation \& Proposal Support

a)Assist the sales and proposal team in preparing quotations, proposals, tender documents, and client contracts, including the commercial documentation required for submissions.

b)Ensure all sales documentation is accurate, complete, and aligned with company policies and procedures.

3. Sales Transaction \& Reporting Management

a)Maintain accurate and up-to-date records of sales transactions and customer documentation.

b)Prepare regular sales-related reports, including:

c)Weekly updates for Sales War Room discussions

d)Monthly sales reporting support for Finance and Management review.

4. Internal Coordination \& Stakeholder Liaison

a)Coordinate with internal departments to obtain necessary information for sales presentations, tenders, and client meetings, including:

b)Project track records from Project Delivery Department (PDD)

c)Financial inputs from Finance

d)Supporting documents from Company Secretarial (COSES) and other units.

5. Sales Order Processing \& Customer Support

a)Process customer sales orders in a timely and accurate manner.

b)Coordinate project handover documentation from sales to the execution/project team to ensure smooth delivery.

c)Support documentation of client credit assessments and ensure proper record management.

6. Vendor Registration \& Sales Enablement Support

a)Manage applications and renewals of customer/vendor registrations required to support sales pursuits, including key portals and client systems (e.g., PETRONAS, TNB, Air Selangor, JKR, etc.).

b)Ensure vendor registration documentation remains valid and updated to avoid disruptions in tender participation.

7. Sales Systems \& Continuous Improvement

a)Coordinate Sales Master List utilization and support CRM transition activities.

b)Contribute to continuous improvement initiatives, including updating SOPs and supporting sales operational efficiency.

8. ISO Audit \& Compliance Support (Sales Scope)

a)Act as the liaison officer for internal and external ISO audits related to Sales Operations.

b)Support audit preparation, documentation readiness, and follow-up actions for process improvements.

9. Manage routine tasks and provide timely support for ad-hoc requests from HODs.

Job Type: Full-time

Pay: RM2,800.00 - RM3,500.00 per month
