Sales Coordinator — Job Description
Summary
Coordinate and support sales operations to ensure smooth order processing, timely customer communication, and efficient internal collaboration between sales, logistics, and finance teams.
Key responsibilities
- Manage day-to-day sales administration: process orders, prepare quotes, enter CRM records, and maintain customer files.
- Act as primary point of contact for customers on order status, delivery updates, billing queries, and routine product questions.
- Coordinate with warehouse, shipping, and production to ensure order fulfillment and timely deliveries.
- Track sales metrics and prepare regular reports (daily/weekly/monthly) for sales managers and leadership.
- Support sales team with calendar scheduling, travel arrangements, expense reporting, and client meeting preparation.
- Assist with pricing, proposals, RFP responses, and contract document assembly.
- Maintain and update CRM data (contacts, opportunities, pipeline stages) and ensure data quality.
- Reconcile orders and invoices with accounts receivable; follow up on outstanding payments as directed.
- Help onboard new customers and support onboarding tasks (setups, documentation, training coordination).
- Identify process improvements and maintain standard operating procedures for sales workflows.
Required qualifications
- Education: Associate degree or bachelor’s degree preferred (Business, Marketing, Communications, or related).
- Experience: 1–3 years in sales support, customer service, or administrative role; experience with B2B sales preferred.
- Skills: Strong verbal and written communication; excellent organization and time management; attention to detail; customer-service orientation.
- Technical: Proficient with CRM systems (e.g., Salesforce, HubSpot), Microsoft Excel, Word, and Outlook. Ability to learn ERP/ordering systems quickly.
Preferred qualifications
- Experience with order management or logistics coordination.
- Familiarity with basic sales analytics and reporting (Excel pivot tables, simple formulas).
- Experience in the company’s industry (manufacturing, SaaS, wholesale, distribution, etc.).

Pay: $30.14 – $44.15 per hour
