We're looking for motivated and approachable Receptionist-Administrators to join our Integrated Administration Team and help support healthcare services across the Buller region. We have positions for casual staff and for a 6-month fixed term.

About the Role

As a Reception Administrator, you'll be at the heart of our health service, providing a warm welcome to patients and whānau while ensuring the day-to-day administration functions run smoothly.

You'll be part of a supportive team that works closely with both clinical and non-clinical staff to ensure people across the West Coast can access the care they need.

These casual positions provide cover across our Buller sites, primarily at Westport with occasional shifts in Karamea and Ngakawau when needed.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3C.

What You'll Be Doing

No two days are the same! Your responsibilities will include:

  • Greeting patients and visitors with a friendly and professional approach
  • Managing patient arrivals, appointments, and enquiries through our Indici system
  • Answering and directing phone calls through our Touchpoint system
  • Maintaining accurate patient and medical records
  • Processing payments, invoices, banking, and reconciliations
  • Supporting clinical teams with administrative tasks
  • Assisting with IT troubleshooting and liaising with Digital Services when required
  • Helping ensure a safe environment by following emergency procedures
  • Providing seamless administrative support that helps keep healthcare services running smoothly

What We're Looking For

You'll be someone who genuinely enjoys working with people and takes pride in providing excellent customer service.

Ideally, you'll bring:

  • Previous reception, administration, customer service, or office experience (2'3 years preferred)
  • Excellent communication and interpersonal skills
  • Strong organisational skills and attention to detail
  • The ability to juggle multiple tasks and remain calm under pressure
  • Confident using Microsoft Office, including Word, Outlook, and Excel
  • A high level of professionalism and confidentiality
  • A positive attitude and willingness to learn
  • The ability to work independently and as part of a team
  • An understanding of, and commitment to, the principles of Te Tiriti o Waitangi
