We are looking for an organised, warm, and capable all-rounder to be the welcoming face of our practice and the steady hands behind our daily administration. You will help our clients feel looked after, keep workflows moving, support the team, and bring positive energy to a busy professional office.
What you will be doing
- Welcoming clients and visitors, answering calls and managing enquiries with professionalism and care.
- Keeping the reception area and meeting rooms organised, polished, and client-ready.
- Managing appointments, calendars, incoming mail, courier arrangements, and general office supplies.
- Preparing client correspondence, scanning, filing, data entry and document management.
- Supporting onboarding processes, client records and practice administration tasks including monthly invoicing.
- Assisting accountants and partners with day-to-day administration, workflow follow-ups and deadline reminders.
- Helping coordinate client meetings, internal events and occasional marketing or database updates.
About you
- You are naturally welcoming, professional, and calm under pressure.
- You have excellent attention to detail and take pride in getting the little things right.
- You are organised, proactive and comfortable juggling a variety of tasks.
- You communicate clearly and confidently with clients, colleagues, and external providers.
- You are digitally confident and quick to learn new systems. Experience with Microsoft products, Xero, or practice management software would be helpful.
- You understand confidentiality and can be trusted with sensitive client information.
- Prior experience in a professional services practice would be a huge advantage, but attitude and fit matter just as much.
What we offer
- A supportive team environment with approachable partners and colleagues.
- A varied role where your contribution is noticed and appreciated.
- Professional office systems, good processes, and opportunities to keep learning.
- A respected chartered accounting firm with strong client relationships.
The person who will thrive here
You will be someone who sees what needs doing and gets it done without needing to be asked, who enjoys helping people, and who understands that a smooth-running office makes a real difference to clients and the team. You will bring initiative, discretion, a positive attitude, and a genuine sense of ownership to the role.
