The successful candidate will be joining an established team within the property management department. The successful candidate must be proactive and capable of working on their own initiative, as well as providing administrative support to the team. This role involves working closely with and assisting the Property Management team to deliver a complete property management service.
Key Responsibilities
- Issue statements of account to tenants and provide updates versus previous balances.
- Assist our accounts team to ensure all demands are raised in line with the provisions of lease agreements and any tenant arrears are tracked and closed out.
- Respond to tenant financial queries relating to invoices received and charges on account.
- Support with client financial reporting – recording account balances / arrears.
- Data entry on various property management programs – setting up new tenancy agreements etc.
- Work with other departments on collaborative projects for clients.
- Manage the Property Management databases to ensure department protocol is adhered to.
- Ensure property files are maintained and updated on a regular basis.
- Attend departmental \& client meetings – setting agenda, taking minutes, follow up on action points.
- Typing of letters, reports, pitch documents, memos etc. preparing uniform communication templates to streamline requests.
- Running mail merges from our database and excel spreadsheets.
- Assist the team with any additional duties that may arise to meet the requirements of each department and/or office.
Skills, Knowledge and Experience
- Goal orientated, flexible, extremely well organised and enjoy working within a challenging and busy work environment.
- Excellent IT skills in Microsoft Office, Excel and PowerPoint
- Ability to multitask and excellent attention to detail.
- Solid database experience
- Excellent organisational skills and ability to prioritise are essential.
- Fluent in verbal and written English.
- Present well in a corporate environment and have proven customer/client relationship skills.
- Have excellent communication and interpersonal skills with the capability of building good relations within other offices across the Savills Group.
- Given the sensitive information the successful person will be privy to confidentiality and discretion is crucial.
