Project Manager

Position Summary

The Project Manager will be responsible for the end-to-end planning, coordination, execution, and successful delivery of luxury retail, visual merchandising, joinery, and fit-out projects across the GCC.

The role will act as the key link between clients, design, sales, estimation, procurement, production, logistics, and installation teams, ensuring that every project is delivered to the required standards of quality, budget, timeline, and brand compliance.

The ideal candidate should have strong experience managing fast-paced retail projects and understand the high level of precision, finishing, presentation, confidentiality, and attention to detail expected by international luxury and premium brands.

Key Responsibilities

1. Project Planning \& Execution

• Take complete ownership of projects from project handover through production, delivery, installation, and final completion.
• Develop detailed project schedules, milestones, manpower requirements, and execution plans.
• Monitor project progress against agreed timelines and ensure timely completion.
• Identify project risks, delays, and dependencies and take proactive corrective action.
• Ensure projects are delivered within approved scope, budget, quality standards, and timelines.

2. Client \& Brand Coordination

• Act as the primary project contact for clients, brand representatives, visual merchandisers, consultants, mall management, and other stakeholders.
• Understand and communicate brand guidelines, design intent, material specifications, finishes, dimensions, and installation requirements to internal teams.
• Attend client meetings, site meetings, project briefings, and coordination meetings as required.
• Provide regular project updates and professionally manage client expectations.
• Ensure all client comments, approvals, revisions, and instructions are properly documented and communicated.

3. Design, Estimation \& Technical Coordination

• Coordinate closely with the Design, Technical Design, Estimation, and Production teams to ensure the project is technically and commercially aligned.
• Review drawings, BOQs, specifications, material selections, finishes, and other project documentation.
• Ensure design changes and client revisions are properly assessed for cost, time, and production impact.
• Coordinate shop drawings, samples, mock-ups, prototypes, and approvals where required.
• Ensure approved designs and specifications are accurately transferred to production.

4. Procurement \& Material Management

• Coordinate with Procurement to ensure timely sourcing and availability of project materials.
• Monitor long-lead items and critical materials to avoid project delays.
• Ensure materials procured meet approved specifications, samples, quality, and brand requirements.
• Coordinate with suppliers and subcontractors regarding delivery schedules and project requirements.

5. Production \& Factory Coordination

• Work closely with Production and workshop teams to monitor project manufacturing progress.
• Ensure production follows approved drawings, specifications, samples, and quality standards.
• Conduct regular progress checks and coordinate necessary corrections or modifications.
• Ensure production priorities are aligned with project deadlines and installation schedules.

6. Site \& Installation Management

• Coordinate site surveys, site readiness, deliveries, installation, dismantling, and handover activities.
• Coordinate with mall management, contractors, security, and other site stakeholders to ensure smooth execution.
• Ensure all required permits, access arrangements, work schedules, and site requirements are coordinated in advance.
• Monitor installation teams and subcontractors to ensure work is completed safely, accurately, and according to approved designs.
• Ensure the finished installation meets the expected luxury retail presentation and quality standards.

7. Quality Control

• Maintain high standards of workmanship, finishing, alignment, dimensions, materials, and overall presentation.
• Conduct quality inspections during production and installation.
• Identify and resolve defects, rework, and non-conformities before client handover.
• Ensure all snags and client comments are closed within the agreed timeline.

8. Cost \& Commercial Control

• Monitor project costs against approved budgets and scope.
• Identify potential cost overruns and communicate them to management at an early stage.
• Ensure variations and additional works are properly identified, documented, approved, and communicated.
• Coordinate with Estimation and Finance teams regarding project billing, variations, and commercial matters.

9. Project Documentation \& Reporting

• Maintain accurate project records, schedules, approvals, drawings, correspondence, site reports, and completion documents.
• Prepare regular project status reports for management and clients.
• Track project progress, pending approvals, procurement status, production status, installation status, and outstanding issues.
• Maintain proper documentation of variations, delays, client instructions, and project handovers.

10. Team \& Cross-Functional Coordination

• Coordinate and communicate effectively with Sales, Design, Technical, Estimation, Procurement, Production, Logistics, Finance, and Installation teams.
• Allocate priorities and ensure all departments are aligned with project deadlines.
• Conduct project coordination meetings where required.
• Promote accountability and ensure timely completion of assigned project activities.

11. Project Handover \& Client Relationship

• Ensure projects are properly completed, inspected, snagged, and handed over to the client.
• Coordinate final documentation, completion reports, warranties, and other required handover documents.
• Maintain professional relationships with clients after project completion.
• Support the business in securing repeat projects, maintenance works, seasonal campaigns, and future retail rollouts.

Qualifications \& Requirements Experience

• Minimum 5 years of project management experience, preferably within the KSA.
• Experience in luxury retail fit-out, visual merchandising, joinery, retail displays, shopfitting, mall counters, kiosks, or similar environments.
• Proven experience managing projects from concept/design coordination through production, installation, and final handover.
• Experience working with international luxury, cosmetics, fashion, fragrance, jewellery, or premium retail brands is highly preferred.

Technical \& Project Skills

• Strong understanding of joinery, fabrication, finishes, materials, retail displays, shopfitting, and installation processes.
• Ability to read and understand technical drawings, shop drawings, BOQs, specifications, and project documentation.
• Strong knowledge of project scheduling, procurement, production planning, site coordination, and quality control.
• Ability to manage multiple projects simultaneously while maintaining attention to detail.
• Good understanding of mall and retail project requirements, permits, access procedures, and installation restrictions.

Luxury Retail Competencies

• Strong understanding of luxury brand standards, visual merchandising principles, finishes, detailing, and presentation quality.

• Arabic communication skills will be an advantage.

Pay: ﷼6,000.00 - ﷼8,000.00 per month
