Patient Care Coordinator
Location: Downtown Vancouver, BC (moving to 1st Avenue and Boundary in August /September)

We are looking for an organized, proactive, and people-focused Patient Care Coordinator to join our team. This role is much more than reception, it is the operational hub of our clinic. You will be the first face our patients see, the first voice they hear, and the person who helps ensure every day runs smoothly for both our clients and our team.

What You'll Do
Patient Experience \& Customer Care
- Welcome and support patients throughout their clinic experience.
- Schedule, confirm, and manage appointments.
- Answer phones, emails, and patient inquiries.
- Process payments and provide receipts and insurance documentation.
- Coordinate referrals and assist with patient treatment logistics.
- Ensure orthotics, repairs, and other pedorthic items are prepared for appointments.
- Deliver exceptional customer service while building positive patient relationships.
Clinic Operations
- Act as the "air traffic controller" of the clinic by coordinating daily workflow and administrative processes.
- Keep patient records accurate and up to date in Juvonno.
- Monitor and maintain clinic supplies and inventory.
- Support efficient communication between clinicians, staff, and other clinic locations.
- Assist with improving clinic processes and procedures.
- Help ensure daily operational tasks are completed effectively.
Leadership \& Team Support
- Support and mentor team members in customer service best practices.
- Assist with staff onboarding and ongoing training.
- Help troubleshoot operational issues and resolve concerns.
- Contribute to a positive, collaborative workplace culture.

Third-Party Billing \& Administration
- Manage third-party insurance approvals and payment requests.
- Ensure billing paperwork is completed accurately and efficiently.
- Follow up on outstanding claims and maintain organized records.
- Assist with financial administration including deposits, tender reports, and petty cash reporting.
What We're Looking For
Required Skills \& Experience
- 2+ years of experience in customer service, healthcare administration, reception, office administration, or a similar role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Confidence handling multiple priorities in a fast-paced environment.
- Strong attention to detail and accuracy.
- Professional and compassionate approach to patient care.
- Proficiency with computer systems and Microsoft Office.
Assets (Nice to Have)
- Experience in a healthcare, rehabilitation, wellness, or clinical environment.
- Experience with Juvonno or similar clinic management software.
- Experience with insurance or third-party billing.
- Leadership, training, or supervisory experience.

Pay: $20.00-$24.00 per hour
