Operations Manager

Position Summary
The Operations Manager is responsible for overseeing the day-to-day administrative and operational functions of the medical center, ensuring efficient service delivery, regulatory compliance, optimal resource utilization, and an exceptional patient experience. The role supports the organization's strategic objectives by coordinating departments, improving operational processes, and maintaining high standards of quality and performance.
Key Responsibilities Operational Management
- Oversee the daily operations of all administrative and non-clinical departments.
- Ensure smooth coordination between clinical, administrative, and support services.
- Develop, implement, and monitor operational policies, procedures, and workflows.
- Identify opportunities for operational improvements and implement best practices.
- Monitor key performance indicators (KPIs) and prepare operational reports for management.
Human Resources \& Administration
- Supervise administrative staff and department supervisors.
- Coordinate recruitment, onboarding, orientation, and staff scheduling.
- Support employee performance management and professional development initiatives.
- Ensure compliance with company policies and labor regulations.
- Foster a positive, collaborative, and productive work environment.
Regulatory Compliance \& Quality
- Ensure compliance with applicable healthcare regulations, licensing requirements, and accreditation standards.
- Coordinate internal audits and prepare documentation for external inspections.
- Maintain operational policies, standard operating procedures (SOPs), and organizational records.
- Monitor quality improvement initiatives and implement corrective actions when necessary.
- Promote patient safety, confidentiality, and ethical business practices.
Financial \& Resource Management
- Assist in preparing operational budgets and monitoring departmental expenditures.
- Optimize resource allocation and operational efficiency.
- Coordinate procurement of medical and office supplies.
- Monitor vendor performance and manage service contracts.
- Support cost-control initiatives while maintaining service quality.
Patient Experience
- Ensure high standards of customer service throughout the patient journey.
- Resolve escalated patient concerns and service issues.
- Monitor patient feedback and implement service improvement initiatives.
- Coordinate with department heads to enhance patient satisfaction.
Facilities \& Asset Management
- Oversee facility maintenance and ensure a safe, clean, and functional environment.
- Coordinate preventive maintenance of equipment and infrastructure.
- Ensure compliance with health, safety, and infection prevention requirements.
- Manage relationships with external contractors and service providers.
Strategic Support
- Participate in strategic planning and organizational development initiatives.
- Lead operational improvement projects and change management activities.
- Prepare management reports, presentations, and operational analyses.
- Support business development initiatives and organizational growth.
Qualification
- Bachelor's Degree in Nursing ,Bachelor's degree in Healthcare Administration, Business Administration, Management, or a related field.
- Master's degree is an advantage.
- Relevant certifications in healthcare management or quality are desirable.
Experience
- Minimum of 5–8 years of progressive operational management experience.
- Experience in a healthcare, hospital, or medical center environment is preferred.
- Demonstrated experience managing multidisciplinary teams and organizational operations.

JAWDA, TASNEEF \& ADHICS Responsibilities
- Oversee compliance with JAWDA quality indicators and reporting requirements.
- Coordinate data collection, validation, submission, and performance monitoring for JAWDA measures.
- Ensure departmental readiness for TASNEEF assessments and facilitate continuous compliance with accreditation standards.
- Lead preparation, documentation, and follow-up activities for ADHICS audits, ensuring compliance with Abu Dhabi Healthcare Information and Cyber Security Standards.
- Coordinate with Information Technology, clinical departments, and external consultants to implement cybersecurity, information governance, and data privacy requirements.
- Monitor action plans resulting from JAWDA, TASNEEF, and ADHICS assessments and ensure timely closure of recommendations.
