We’re looking for a proactive and highly organised Office and People Coordinator to become the heartbeat of our office - someone who takes pride in creating a welcoming, efficient, and well-run workplace where both our team and clients have a brilliant experience. This is a varied role that combines office management, people support, culture, and events, making it ideal for someone who enjoys bringing structure, energy, and positivity to a growing digital business.
What you’ll be doing;
Front of House \& Office Operations
- Answering and redirecting all calls for the business
- Taking and relaying detailed messages
- Greeting clients and suppliers on arrival, ensuring the reception area is a welcoming environment for clients
- Maintaining a well-presented, organised, and high-performing office environment, carrying out regular checks to ensure consistently high standards
- Managing office supplies and ensuring core office operations continue smoothly during periods of absence
- Preparing meeting spaces and coordinating meeting requirements for internal and client-facing sessions
- Managing business travel and accommodation bookings, ensuring all arrangements are organised accurately and in line with company processes
- Supporting basic finance administration tasks, including processing payments and banking activities where required
People \& Culture
- Coordinating the onboarding experience for new starters, including contracts, pre-start administration, inductions, and first-day office set-up
- Supporting team engagement initiatives, including staff celebrations, recognition, and internal culture activities
- Managing long-service recognition initiatives (Five Year Club), including milestone celebrations, team events, and staff gifting
- Supporting learning and development initiatives, including coordinating training budgets and encouraging engagement with professional development opportunities
- Leading and coordinating the company’s charity and community initiatives, including charity partnerships, fundraising activity, and internal engagement updates
- Planning and coordinating seasonal events and company celebrations throughout the year
- Coordinating work experience placements and supporting students throughout their time with the business
- Maintaining and updating internal company documentation, policies, and employee resources
Executive \& Business Support
- Providing proactive administrative and operational support to the leadership team
- Providing ad-hoc executive and administrative support to the leadership team as required
- Maintaining and organising internal company information and resources to support pitches, proposals, and business development activity
- Assisting with internal communications and social content coordination alongside the Marketing team
- Supporting the wider business with day-to-day administrative and operational tasks as required
Events, Engagement \& Employee Experience
- Coordinating company meetings, team socials, and off-site events, including venue sourcing, logistics, catering, and travel arrangements
- Managing client and team gifting initiatives, ensuring thoughtful and timely delivery throughout the year
- Proactively identifying opportunities to improve the office environment, employee experience, and day-to-day operations
