The Office Manager will oversee day-to-day office management and provide administrative and project coordination support across the Urban Core development program. This is an integrated mixed-use development and ideally the candidate will have experience in an Office Manager type role with a client-side developer or international PMC/PMO working on similar mega/gig projects. The role will ensure efficient office operations, support project teams, and drive effective coordination between internal stakeholders, consultants, contractors, and service providers.
Key Responsibilities
Office Management
- Manage daily office operations and administrative activities across the project office.
- Coordinate facilities, workspace allocation, supplies, vendor services, and office logistics.
- Maintain a professional, efficient, and well-organized working environment.
- Support onboarding, visitor management, and administrative processes.
Project Coordination
- Coordinate meetings, workshops, and stakeholder engagements across multiple workstreams.
- Track actions, decisions, and key deliverables, ensuring timely follow-up.
- Support project reporting, presentations, and documentation management.
- Maintain project calendars, stakeholder contact lists, and communication records.
- Act as a central coordination point between project teams, consultants, and external partners.
Document \& Administrative Support
- Ensure project documentation is accurately maintained and stored.
- Assist in preparing reports, correspondence, meeting minutes, and executive briefing materials.
- Support procurement, contract administration, travel arrangements, and expense management as required.
Requirements Candidate Profile
- Bachelor's degree or Diploma in Business Administration, Project Management, or related field.
- 7+ years' experience in office management, project coordination, executive administration, or similar roles.
- Experience supporting large-scale commercial office, mixed-use, real estate, development, construction, or infrastructure projects.
- Strong organizational, stakeholder management, and multitasking skills.
- Proficient in Microsoft Office Suite, document management systems, and project coordination tools.
- Strong written and verbal communication skills in English.
