Job Description

We are seeking a professional, organized, and detail-oriented Office Administrator to join in our team. You will work for an established importer and distributor of specialist fishing equipment and tackle in Auckland.

A key requirement for this operational role is the ability to communicate with our suppliers in Japan and with our dedicated Japanese Freight Forwarder in Auckland (Jacanna) . Preferably the candidate will have a keen interest in fishing and familiar with the fishing industry.

You will be expected to work at least 30 hours and up to 40 hours per week from Monday to Sunday as normal hours of work. This is a permanent full-time role and the hourly pay rate will be $28-$38.

Key Duties

  • Liaise with HD’s Japanese Suppliers regarding orders, delivery schedules and product information.
  • Coordinate supplier communications to ensure timely processing of orders and accurate exchange of business information.
  • Review and process Japanese supplier documentation, including quotations, invoices, packing lists and shipping documents.
  • Monitor purchase orders and follow up with suppliers to ensure on-time delivery of goods and resolve any supply issues.
  • Maintain effective working relationships with Japanese suppliers and assist in resolving routine operational enquiries.
  • Support our Commission Sales Representative.
  • Support month end tasks including journals, accruals and reconciliations.
  • Assist with financial reporting and variance analysis.
  • Conduct weekly and monthly stock counts, audits and statutory reporting requirements.
  • Provide support across Accounts Payable, Accounts Receivable and work in the store.
  • Identify and drive process improvements.
  • Office management - ordering supplies etc.
  • Perform other administrative duties as reasonably required to support the efficient operation of the business.

Skills and Experience

  • Diploma Level 5 or above qualified or have 2+years experience in accounting, finance within a commercial environment.
  • Japanese language skills would be an advantage.
  • Advanced Excel skills with strong attention to detail.
  • Confident communicator and a team player who can engage with our suppliers and customers.
  • Proactive, organised and solutions focused.
