Requirements \& Qualification:
- Bachelor’s degree in Business Administration, Human Resources, Accounting, Management or any related field.
- Work experience in a similar role is required for this position:
- 5 years and more: Senior Human Resource Executive
- Less than 5 years: Human Resource Executive
- Strong interpersonal and communication skills, with the ability to build effective working relationships at all levels of the organization.
- Excellent organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
- Strong analytical skills for interpreting HR data, commitment to continuous learning, contribute to developed technical proficiency in tools e.g., Power BI.
- Knowledge of office management systems and procedures.
- Critical thinker and problem-solving skills.
- Familiar with Employment Act 1955 and related regulatory requirements.
- Team player.
- Good time-management skills.
- Great interpersonal and communication skills.
- Proficiency in Microsoft Office.
Responsibilities:
Responsible for overseeing the Human Resources function and being aware and knowledgeable of HR procedures, guideline, and any related documents and responding to related inquiries. This includes, but is not limited to, the following responsibilities: -
Payroll:
- Ensure all relevant daily HR \& Payroll Administration services are consistent and in compliance with local acts (statutory and non-statutory) and company guidelines,
- Hands on experience in monthly payroll processing
- Prepare monthly payroll costing report and annual forecast manpower costing report
- Work closely with HOD for the HR software enhancement.
- Work with team member by ensuring any form of HR system data is accurate, kept secure and in compliance with data protections laws
- Facilitate external auditors on information and documentations when needed
- Check Employee leave and time attendance administration through platform (Kakitangan/if any).
- Manage and ensure timely statutory payment (EPF/SOCSO/EIS/LHDN) including delayed payment,
- and database updating of new joiners and resigned Employee.
- Prepare any process and procedure within the section that is required to optimize operations,enhance efficiency, and ensure alignment with organizational goals and standards
- Custodian to manage Annual Increment, Bonus, Incentive Payment, Promotion and any related template for Management approval.
- Prepare reports related to Compensation \& Benefits.
- Ensure current compensation \& benefits package are aligned with Company procedure.
- Liaise with Third Party Administrator (TPA) and insurance company on medical benefits.
- Prepare any process and procedure within the section that is required to optimize operations, enhance efficiency, and ensure alignment with organizational goals and standards
Recruitment:
- Implement effective sourcing, screening, and interview techniques.
- Maintain and update all human resources records such as new hires, employment confirmation, extension, termination, resignation etc.
- Handle recruitment administration aspects including prepare employment contract, conducting induction briefings/new hire-on-boarding and relevant manpower.
- Prepare any process and procedure within the section that is required to optimize operations, enhance efficiency, and ensure alignment with organizational goals and standards.
- Coordinate with hiring managers to understand the job requirements and facilitate whole hiring process such as arranging interviews
- Prepare all documents relating to recruitment
- Generate hiring report and status update as and when required
- Participate in career fair to attract potential candidates.
Communication:
- Develop and distribute internal communications to keep employees informed about company news, policies, guidelines, awareness and initiatives.
- Monitor and manage the whistleblower feedback for internal and external concerns confidentially and without fear of retaliation.
- Coordinate and manage stakeholder communication efforts.
- Oversee the creation, management, and update website content to ensure it is engaging, accurate, and up to date.
- Develop and manage media content e.g., articles, and social media posts, to enhance the employer brand and public image.
- Collect feedback from employees and stakeholders to continuously improve communication efforts.
