Job Summary

We are seeking a proactive, responsible and hands-on HR Executive to join our team in Semenyih.

The successful candidate will be responsible for a broad range of HR Generalist functions covering the full employee lifecycle, from recruitment and onboarding through employee relations, disciplinary matters and termination. The role will also involve regular liaison with Jabatan Tenaga Kerja (JTK), Immigration Department, government authorities and other relevant agencies.

This position is suitable for an HR professional who is comfortable working independently, handling sensitive employee matters, coordinating with multiple departments and ensuring that HR practices comply with Malaysian employment laws and company policies.

Key ResponsibilitiesHR Generalist \& Employee Lifecycle

  • Manage day-to-day HR operations and provide HR support to Management, departments, branches and project/site teams.
  • Handle the complete employee lifecycle from recruitment, onboarding, confirmation, transfer, promotion, disciplinary matters, resignation and termination.
  • Prepare employment letters, offer letters, confirmation letters, transfer letters, promotion letters and other HR-related correspondence.
  • Maintain accurate and up-to-date employee records, personnel files and HR documentation.
  • Coordinate employee onboarding, induction and orientation.
  • Manage employee offboarding, clearance and exit documentation.

Recruitment \& Manpower

  • Coordinate recruitment activities including job advertisements, candidate screening, interview arrangements and employment offers.
  • Work closely with hiring managers to understand manpower requirements.
  • Support recruitment for office, project, technical and site-based positions.
  • Coordinate mobilisation and deployment of employees to projects and branches where required.
  • Maintain recruitment and manpower tracking records.

Employee Relations \& Disciplinary Matters

  • Handle employee grievances, misconduct, attendance and performance-related matters professionally and confidentially.
  • Assist in conducting internal investigations relating to employee misconduct.
  • Prepare and issue Show Cause Letters, Warning Letters and other disciplinary correspondence.
  • Coordinate domestic inquiries where required.
  • Ensure disciplinary processes are properly documented and carried out in accordance with company policies and Malaysian employment legislation.
  • Assist Management with termination, dismissal and other employee separation matters.

Government Authorities \& Statutory Compliance

  • Liaise and deal with Jabatan Tenaga Kerja (JTK) on employment and labour-related matters.
  • Attend meetings, inquiries or discussions with government authorities when required.
  • Liaise with relevant authorities and statutory bodies including KWSP/EPF, PERKESO/SOCSO, EIS, LHDN and other government agencies.
  • Ensure HR practices comply with the Employment Act 1955, applicable labour regulations and statutory requirements.
  • Maintain proper documentation for inspections, audits and regulatory requirements.

Immigration \& Foreign Workers

  • Liaise with the Immigration Department of Malaysia and relevant agencies on foreign worker and expatriate matters.
  • Coordinate work permits, employment passes, Professional Visit Passes, renewals and other immigration-related documentation where applicable.
  • Monitor passport, permit and visa validity and ensure timely renewal.
  • Coordinate foreign worker recruitment, mobilisation, documentation and related administrative requirements.
  • Liaise with appointed agents and relevant government authorities regarding foreign worker matters.
  • Maintain accurate records of foreign employees, permits and immigration documentation.

HR Administration \& Compliance

  • Monitor employee attendance, leave, absenteeism and related HR matters.
  • Support payroll administration by ensuring accurate employee information, attendance and HR-related inputs are submitted on time.
  • Ensure HR policies, procedures and documentation are properly implemented.
  • Assist with HR and ISO audits and maintain required HR records.
  • Prepare HR reports, manpower reports and other reports required by Management.
  • Maintain strict confidentiality of employee and company information.
  • Perform other HR-related duties assigned by Management.

Requirements

  • Diploma or Bachelor's Degree in Human Resources Management, Business Administration, Management or a related field.
  • Preferably 3–5 years of relevant HR Generalist experience.
  • Good practical knowledge of the Employment Act 1955 and Malaysian labour practices.
  • Experience dealing with JTK, Immigration Department and other government authorities is strongly preferred.
  • Experience handling foreign workers, expatriates, work permits and immigration matters will be an advantage.
  • Experience handling employee disciplinary matters, including Show Cause Letters, Warning Letters and termination processes.
  • Able to handle sensitive and confidential matters professionally.
  • Strong interpersonal and communication skills.
  • Good organisational skills with the ability to manage multiple HR matters simultaneously.
  • Proficient in Microsoft Office applications.
  • Able to work independently with minimum supervision and follow through on assigned matters.
  • Willing to be based in Semenyih, Selangor.
  • Experience in the construction, engineering, oil \& gas or project-based industry will be an added advantage.

Language

  • Good command of English and Bahasa Malaysia is required.
  • Ability to communicate in Tamil will be an added advantage, particularly for communication and coordination with employees and site personnel.

Preferred Candidate

We are looking for someone who is hands-on, firm but fair, organised and able to take ownership of HR matters from beginning to completion. The candidate should be comfortable dealing with employees at different levels, Management, site personnel and government authorities.

Candidates with practical experience handling HR operations, employee relations, disciplinary matters, foreign workers and government liaison are strongly encouraged to apply.

Job Type: Full-time

Pay: RM2,500.00 - RM3,500.00 per month
