Position Summary
The HR \& Office Administrator is responsible for supporting the day-to-day administrative, human resources, and office management activities of the Skyways Technics Poland component repair workshop.
The role ensures the efficient operation of the office by coordinating HR administration, payroll support, office facilities, travel arrangements, financial administration, and employee services while ensuring compliance with Polish labour legislation, company policies, and applicable regulatory requirements.
As part of the workshop start-up phase, the HR \& Office Administrator will play an active role in establishing office procedures, administrative systems, employee records, and supporting the recruitment and onboarding of new employees.
Responsibilities
Manage the day-to-day administrative activities of the Poland office and ensure the efficient operation of all office functions.
Maintain office documentation, records, filing systems, and administrative procedures.
Coordinate employee onboarding and offboarding activities, including employment documentation, induction arrangements, and personnel records.
Maintain employee files in accordance with Polish labour legislation, GDPR requirements, and company procedures.
Coordinate employee attendance records, working hours, leave administration, and timesheet collection.
Support payroll preparation by ensuring all payroll-related information is complete, accurate, and submitted within the required deadlines.
Support the Finance department with accounts payable administration, invoice processing, and financial documentation.
Coordinate business travel arrangements, accommodation, transportation, and visitor logistics.
Manage office procurement activities, including stationery, office equipment, consumables, and service providers.
Coordinate local suppliers for office-related services and monitor supplier performance.
Support recruitment activities by coordinating interviews, preparing employment documentation, and communicating with candidates.
Monitor employee probation periods, training records, and performance review schedules.
Coordinate mandatory employee training and maintain training records.
Support employee engagement initiatives and promote a positive working environment.
Assist management with internal communications and company events.
Coordinate office maintenance, facility services, cleaning contractors, and office security.
Ensure compliance with company administrative procedures and applicable Polish regulations.
Support audits by preparing administrative and HR documentation when requested.
Maintain confidentiality when handling personnel, payroll, and financial information.
Provide general administrative support to the Company Manager and department managers.
Perform other administrative and HR-related duties as assigned by the Company Manager.
Qualification requirements:
Bachelor's degree or Diploma in Human Resources, Business Administration, Finance, or a related discipline.
Good knowledge of Polish labor legislation and employment administration.
Understanding of payroll administration processes.
Good knowledge of Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
Experience working with HR and payroll software is preferred.
Good command of both Polish and English, written and spoken.
Knowledge of GDPR requirements relating to employee records and personal data.
Working experience requirements:
Minimum 3 years of experience in Human Resources, Office Administration, or Business Administration.
Previous experience supporting payroll administration and employee records.
Experience coordinating recruitment, onboarding, and HR administration.
Experience working within an international company is considered an advantage.
Experience working in aviation, aerospace, manufacturing, or other regulated industries is preferred.
Experience supporting start-up operations or rapidly growing businesses is considered a strong advantage.
