Job Description

Job Summary

The Football Academy Administrator provides administrative support and services to the NIST Falcons Football programme. This individual is responsible for assisting with football sports fixtures, football activity offerings, football transportation, liaising with other International Schools, communications to students/ parents/ faculty, social media marketing, any catering requests and the organisation and running of Holiday Camps.

Responsibilities

  • Follow the direction of the Head of Football and the Director of Sports \& Activities at all times
  • Organise the logistics of League fulfilment through the coordination of event organisation.
  • Using content management systems to maintain and update websites and internal databases
  • Design and create Football Academy branding and signage
  • Organise all Football Academy photography to be used for promotional materials
  • Managing and maintaining budgets, as well as invoicing and purchasing
  • Oversee the following key areas through the support and guidance of the Head of Football: transportation bookings, departmental policies and regulations, communications with staff/ coaches, parents, online sign-ups, monitoring student attendance, communications platforms, and digital publications
  • Support with customer service through assisting parents/teachers/ students as required – via email, in person, or by phone
  • Using a variety of software packages, such as Google Docs, Sheets, Slides, Excel, Veracross, Adobe, etc., to produce correspondence and documents and to maintain presentations, records, spreadsheets, and databases
  • Devising and maintaining office systems
  • Booking rooms and facilities with other departments and with external contacts.
  • Ordering and maintaining stationery, equipment and any purchases related to the football program.
  • Support the running of the Saturday morning programme with the roles to be designated by the HOF.
  • Be contactable 24/7 while students are off-site to ensure that coaches are supported with the return transport to NIST.
  • Manage the collection of Football staff time sheets.
  • Support the organisation of the programme by attending overseas travel to participate in international tournaments.
  • Sorting and distributing incoming mail and organising and sending outgoing mail.
  • Assist in arranging travel and accommodation for staff and students
  • Creating travel booklets, paperwork, and associated forms.
  • Liaising with colleagues and external contacts to book travel and accommodation.
  • Organising and storing paperwork, documents, and computer-based information.
  • Photocopying and printing various documents, sometimes on behalf of other colleagues.
  • Organising football academy team uniforms and equipment
  • Arranging in-house and external events, through contacting match officials.
  • Attend meetings and contribute in a positive fashion Attend to emails and communications as needed in a timely way (within 24 hours)
  • Attend any additional event, tournament, sport, or other activity at the request of the Director of Sports \& Activities
  • Take part in professional development activities, where assigned, and maintain current knowledge of all systems and practices

Qualifications

  • Bachelor’s degree in any related field
  • Background and experience in administration
  • 3+ Years of Experience in an administrative role.
  • Knowledge and experience in effective safeguarding practices procedures are desirable
  • Competent in both written and spoken English
  • Computer-literate and familiar with MS Office, Google Office, and Web-Based programs
  • An excellent communicator with good interpersonal skills who has the ability to converse well with students, parents, and colleagues
  • Service-oriented and has the ability to work under pressure
  • A self-starter who is able to lead or assist and work as part of a team
  • Highly organised and able to set timelines and assist with large-scale events and operations
  • Willing to work additional hours where needed for competition/ event preparation
  • Mature, pleasant personality, flexible, multi-tasks, student and people-oriented
  • Interest in educational Sports \& Activities
  • Share a commitment to NIST values with an enthusiasm for the value of sport within the NIST mission

Working Hours

  • Working hours are 9:00 AM - 5:30 PM, Monday – Friday, Saturday 7:00-12:00 AM on Operational Saturdays.
  • Plus, any additional event, tournament, sport, or other activity that requires attendance on weekdays and weekends
