Job Overview:
We are looking for a professional and friendly Female Receptionist who will be the first point of contact for our clients and guests. The ideal candidate will manage front desk operations, client bookings, phone and WhatsApp inquiries, and provide administrative support to ensure smooth daily operations at Calm and Co.
Key Responsibilities:
Front Desk Operations:
- Greet and welcome clients and visitors with warmth and professionalism
- Answer, screen, and forward incoming calls
- Respond to client messages and inquiries through WhatsApp and other communication channels
- Handle client bookings and class reservations using the studio’s booking system
- Maintain a tidy, organized, and welcoming reception area
Customer Service:
- Provide exceptional service to all clients and guests
- Handle inquiries and concerns professionally and efficiently
- Assist clients with class information, packages, and schedules
- Build and maintain positive relationships with clients
Administrative Support:
- Perform clerical tasks such as filing, data entry, and document preparation
- Assist with scheduling classes, meetings, and appointments
- Support instructors and management with administrative tasks and communications
Office Supplies & Equipment:
- Monitor and maintain office and reception supplies
- Ensure the smooth operation of office equipment such as printers and phones
Skills & Qualifications:
- High school diploma or bachelor's degree (additional qualifications in office administration are a plus)
- Proficient in English (spoken and written)
- Experience as a receptionist or in a similar customer service role preferred
- Knowledge and experience with booking systems/software
- Familiar with handling client communication through WhatsApp and phone calls
- Strong communication and interpersonal skills
- Excellent organizational skills and attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of Canva and basic graphic design skills is an advantage
- Knowledge on taking videos and photos for social media purposes
- Friendly, reliable, and able to multitask in a fast-paced environment
- Professional appearance and positive attitude
- Able to handle confidential information with discretion
