Overall Role
This position will be responsible for delivering daily service operations including mailroom operations, visitor management, fleet management, regular facility inspections, and supply management within our Facility & Workplace Services team. The role focuses on hospitality, customer centricity, continuous improvement, operational excellence, safety, and compliance while collaborating closely with the manager and team members.
Duties & responsibilities
MAJOR RESPONSIBILITIES
The Facility Coordinator will be responsible for service delivery at the assigned Shibaura office property/facility and serve as the main point of contact for clients and stakeholders.
Key responsibilities include helpdesk operations, mailroom operations, fleet management, facility inspections, event support, supply management, and visitor management, all in accordance with the client's scope of work. As a team member, this position will also provide support to other team members during their annual leave or peak periods.
The Account Manager is located at HQ; however, the position will receive necessary advice and direction from HQ as needed.
There are 3 sites in Japan where JLL team is assigned. At the Shibaura office, FM operations are handled by a 2-person team.
The main role of this position is site management, primarily focusing on soft services, helpdesk operations, mailroom operations, visitor management, landlord liaison, and troubleshooting in collaboration with team members.
Team Structure: JLL x 7 (including the position) and 1 partner vendor(reception at Hachioji HQ), 5 in 8 team member located at Hachioji.
Client office location: Shibaura office at Minato-ku, Tokyo
Service hour : 9:00-17:10

Required skills
– More than 3 years’ experience in FM, Administrative role or similar work experience in the past
– Business level of English skill by written and verbally
– Has a customer-oriented attitude; flexible, listen, proactive, eager to learn
