Working in close collaboration with the commercial, marketing, and R\&D teams, the selected candidate plays a key role in the execution of projects. They ensure that the appropriate samples are delivered to the right people at the right time to support client validations, innovation trials, and strategic events. In doing so, they contribute to the efficiency, accuracy, and quality of go-to-market activities.

Key activities
Sample \& Logistics Management:
Own the daily intake and prioritization of sample requests.
Coordinate and track shipments (FedEx, Purolator), optimizing speed, cost, and service levels.
Plan and organize sample deliveries with appropriate lead times, including order creation (Comet).
Ensure full lifecycle coordination of sample and trial shipments (preparation, documentation, traceability, and delivery confirmation).
Proactively resolve shipping issues (customs, delays, documentation).
Manage inventory of shipping materials and ensure uninterrupted supply.
Cross-Functional Support:
Manage and prioritize sample requests for R\&D, lab testing, and innovation projects.
Prepare and ship promotional materials (displays, sales kits, marketing tools) to support commercial initiatives for Marketing \& Sales.
Coordinate samples and materials for events.
Private Label \& Industrial:
Coordinate sample shipments to customers and external laboratories across Canada and the U.S.
Prepare and manage customs documentation for international shipments.
Required training and experience
DEP, AEC or DEC in Administration.
2 years of experience in a similar role.
Experience in the food industry (an asset).
Skills sought
Bilingual (French/English), both written and spoken – essential for communication with English-speaking colleagues, clients, and suppliers across provinces and internationally.
Highly organized with strong attention to detail and ability to manage multiple priorities.
Agile and solution-driven in a fast-changing environment.
Excellent time management.
Ability to work cross-functionally.
Strong communication and collaboration skills.
Specific conditions regarding the position:
Valid driver’s license and access to a vehicle (local travel required).
Ability to lift and carry materials up to 23 kg (50 lbs).
Comfortable with both physical tasks (packing/shipping) and administrative work.
