We're looking for an experienced administrator who learns quickly, retains information and is accurate in their work. Naturally you will have excellent communication skills and the ability to deal with a variety of people and problems, often all at the same time. Every day, your work will positively impact patient outcomes.

This is a scheduling role that will be involved in all aspects of administration in the department. Your primary duties will include excellent customer service, waitlist management, scheduling of appointments and contributing to the system wide focus on achieving health targets.

This is a fast-paced environment, working with patients, clinical and non-clinical staff and the experienced applicant will thrive in this frontline area of the hospital, demonstrating your ability to prioritise, follow procedures and solve problems accordingly.

  • A typical day will involve:
  • Managing and maintaining waitlists in line with national guidelines
  • Scheduling patients to ensure clinic efficiencies and that patients are treated in turn and within required timeframes
  • Oversight of tests required to attend appointments
  • Collaboration with the Ambulatory Clerical Team to ensure that all services are covered and operating consistently
  • Communication clearly and professionally with patients, whanau, clinical and non-clinical teams
  • Ensuring accurate data entry into patient management systems
  • Maximising clinic capacity through effective scheduling
  • Championing data quality

About the Team/Service/ Location

The Ambulatory Clerical team is an exceptional team of receptionists, administrators, clerks, and schedulers who work across Outpatients, Tui Te Ora and Referral Centre spaces. They play a vital part in supporting our clinical teams to see patients and their whanau throughout their health journey.

From receiving referrals, to waitlist management, making appointments and working towards Health Targets, this high-performing team is seeking a team player to join them.

About you

You will demonstrate:

  • Proven experience in administration, scheduling, or customer service (healthcare experience advantageous)
  • Excellent communication, professional manner and the ability to work with a diverse range of people
  • Strong computer literacy and accurate data entry skills
  • The ability to prioritise and manage a busy workload
  • A commitment to patientcentred service, confidentiality, and quality
  • Understanding of Te Tiriti o Waitangi and its application in healthcare
  • Strong people and customer focus
  • A can-do, problem solving attitude with a willingness to learn
  • Familiarity with patient management systems (not essential)
