We are seeking an organised, customer-focused Clinical Administrator to join our team. This role is responsible for coordinating patient bookings and supporting the smooth flow of outpatient clinics and elective inpatient admissions in accordance with Health New Zealand Waitaha Canterbury standards and Ministry of Health (MoH) guidelines.
Working closely with the Team Leader, Service Manager and Clinical Director/Triaging Clinician, you will play a key role in ensuring patients receive timely access to care while maintaining accurate records, managing waitlists and delivering exceptional customer service.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5

Key Responsibilities
Customer Service \& Front-of-House
- Provide professional, compassionate and responsive customer service to patients, clinicians and colleagues.
- Welcome and assist patients attending clinic appointments.
- Maintain patient confidentiality and privacy at all times.
- Verify and update patient demographic information within the patient management system.
- Identify and refer unwell or vulnerable patients to clinical staff when required.
Patient Booking \& Administration
- Coordinate outpatient and inpatient bookings in line with Waitaha Canterbury and MoH guidelines.
- Manage referrals, appointments and booking processes according to service requirements.
- Ensure patients are booked according to priority, greatest need and longest wait principles.
- Communicate appointment information clearly and promptly to patients.
- Maintain accurate and timely data entry across patient management systems.
- Liaise with clinical teams regarding booking requirements, diagnostic testing and scheduling decisions.
- You will, at times, be asked to book for other departments, as you will be part of a wider cluster team.
Clinic \& Waitlist Management
- Maximise clinic utilisation through effective scheduling and management of appointment capacity.
- Support clinic preparation and post-clinic administration activities.
- Manage cancellations and rescheduling processes in line with established procedures.
- Monitor and maintain waitlists to ensure compliance with planned care requirements.
- Coordinate inpatient and surgical bookings in collaboration with clinical teams and service management.
- Escalate issues and seek clinical guidance where required.

- Previous administrative experience within a healthcare environment.
- Knowledge of medical terminology.
- Familiarity with public hospital systems and patient management systems.
- Awareness and understanding of people from diverse cultural backgrounds.
