Your Role at Manion

We are seeking an experienced Client Services Coordinator to join our close‑knit and growing team. If you thrive in a collaborative environment and take pride in delivering exceptional client service, we’d love to hear from you.

This role offers a hybrid work arrangement, with regular on‑site presence at our Etobicoke office and the flexibility to work from home a few days per week.

Reporting to the Manager, Client Experience \& Development, the Client Service Representative (CSR) is responsible for servicing a dedicated portfolio of clients in partnership with the Account Executive and the Underwriting and Group Benefits Specialist.

Key responsibilities include preparing and organizing client meeting agendas; attending client meetings; accurately recording, transcribing, and distributing meeting minutes; coordinating and tracking action items; managing client documentation for the Trustee Portal; and responding to client inquiries related to Trustee Trust Funds.

The ideal candidate is highly organized, self‑motivated, and able to work independently with minimal supervision. You are comfortable working under pressure, managing multiple priorities often with interruptions while consistently meeting departmental deadlines. Given the sensitive nature of the information handled in this role, a strong commitment to maintaining the confidentiality and security of client data is essential.

What to Expect (Focus on first 6 Months)

  • Develop a strong understanding of our client base and the scope of services we provide
  • Become familiar with internal teams and key stakeholders across departments
  • Learn where and how to access client files, records, and required information
  • Preparing and organizing client meeting agendas
  • Learn how to compile and manage post‑meeting action items
  • Draft accurate and timely client meeting minutes

What You Will Do

  • Schedule and coordinate client meetings, including issuing meeting invitations and communicating with the Board of Trustees regarding meeting requirements
  • Partner closely with the Associate Account Executive to support the collection of required information, maintain organized client files, and issue timely deadline reminders
  • Coordinate meeting logistics, including placing catering orders and preparing meeting agendas
  • Compile, track, and manage post‑meeting action items to support follow‑up and execution
  • Draft clear and accurate meeting minutes and distribute them as required

What You Bring to the Team

  • Post-secondary education in an industry related field
  • 2 years progressive experience in a group benefits environment
  • Client-focused customer service skills - must be able to work professionally with all contacts including management, colleagues, clients, and vendors
  • Superior organization skills
  • Time management skills - must be able to meet competing deadlines and work well under pressure
  • Proficient in using Microsoft Office including Word, Excel and PowerPoint

Your Compensation

At the time of this posting, the estimated pay for this position is $58,000-60,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the base pay and does not encompass our comprehensive total rewards and benefits, that we proudly offer.
