The Role
The Client Experience \& Studio Operations Coordinator will support the day to day operations of the studio, with a strong focus on communication, family experience, accounts support, and event logistics.
This role works closely with studio leadership to ensure families feel supported, systems run smoothly, and studio events are executed professionally.
Key Responsibilities
1. Client Communication \& Family Support
Responding to parent enquiries via email, phone, and messaging platforms
Supporting current families with account questions, enrolments, policies, and general assistance
Maintaining warm, professional, and solution-focused communication
Following up missed classes, absences, and important family touchpoints
Assisting with studio announcements and parent communications
2. Leads \& Enrolments
Managing new enquiries and trial bookings
Conducting follow-up communication with prospective families
Supporting lead conversion and enrolment processes
Maintaining accurate client records and notes within studio systems
Assisting with retention and customer experience initiatives
3. Accounts \& Fee Management
Assisting with direct debit management and fee scheduling
Monitoring overdue accounts and failed payments
Communicating professionally regarding outstanding fees and payment arrangements
Supporting account reconciliation and payment tracking
Working within studio policies and procedures regarding payments
4. Event Production \& Operations Support
Assisting with concert and event coordination
Supporting backstage logistics, scheduling, and communication
Helping coordinate rehearsals, production timelines, and event administration
Assisting with merchandise, uniforms, ticketing, and event-related organisation
Providing operational support during studio events and performances
5. Administration \& Studio Operations
Supporting backend studio organisation and systems
Maintaining accuracy across studio databases and software
Assisting with documentation, forms, and internal processes
Supporting the leadership team with operational tasks as required

This position plays an important part in the overall client experience, operational flow, and growth of the studio.
