Job Description

Job Summary: The Accounts Payable Associate will play a crucial role in managing all aspects of the accounts payable process, ensuring timely and accurate processing of invoices, payments, and expense reports. This position requires a detail-oriented individual with strong organizational and communication skills, dedicated to maintaining financial records and supporting the overall financial health of the organization. The ideal candidate will contribute to process improvements and uphold strict compliance with company policies and financial regulations.

Key Responsibilities \& Duties ✨

  • Invoice Processing:
    • Receive, verify, and process a high volume of vendor invoices, ensuring accuracy, proper coding, and adherence to company policies.
    • Match purchase orders (POs) to invoices and resolve any discrepancies with vendors or internal departments.
    • Enter invoices into the accounting system (e.g., SAP, Oracle, QuickBooks) promptly and accurately.
  • Payment Execution:

    • Prepare and process electronic payments (ACH, wire transfers) and manual checks for approved invoices.
    • Ensure all payments are made according to payment terms and schedules.
    • Reconcile vendor statements and resolve payment discrepancies.
  • Expense Management:

    • Process employee expense reports, ensuring compliance with company travel and expense policies.
    • Verify receipts and proper approvals for all submitted expenses.
  • Vendor Relations:
    • Communicate effectively with vendors to resolve invoice and payment inquiries.
    • Maintain accurate vendor records, including contact information, payment terms, and W-9 forms.
  • Month-End Activities:
    • Assist with month-end closing procedures related to accounts payable, including accruals and reconciliations.
    • Prepare and generate various accounts payable reports as needed.
  • Compliance \& Audit:
    • Ensure compliance with internal controls, accounting policies, and external regulatory requirements.
    • Assist with internal and external audits by providing necessary documentation and explanations.
  • Process Improvement:
    • Identify opportunities to streamline and improve accounts payable processes for efficiency and accuracy.
    • Participate in the implementation of new systems or process enhancements.

Qualifications \& Skills

  • Education:
    • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
    • High School Diploma or GED required.
  • Experience:

    • 1-3 years of experience in an Accounts Payable role, or a similar financial administrative position.
    • Experience with high-volume invoice processing is highly desirable.
  • Technical Skills:

    • Proficiency in accounting software (e.g., SAP, Oracle, NetSuite, QuickBooks) is a plus.
    • Strong Microsoft Office Suite skills, particularly Excel (pivot tables, VLOOKUPs).
  • Key Competencies:
    • Attention to Detail: Meticulous in reviewing and processing financial data.
    • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
    • Communication: Excellent written and verbal communication skills for interacting with vendors and internal teams.
    • Problem-Solving: Capable of identifying and resolving discrepancies efficiently.
    • Team Player: Ability to work collaboratively in a fast-paced environment.
    • Ethical Conduct: Upholds high standards of confidentiality and integrity in handling financial information.
