Brief Summary:
We are seeking a proactive professional to provide operations and administrative support for allied health departments, ensuring optimal daily function. This hybrid role encompasses IT systems management and collaboration with departmental leads to enhance service delivery.
Responsibilities:
- Oversee daily operations of designated allied health departments, including front counter services.
- Collaborate with Allied Health Leads and staff to troubleshoot system and process issues.
- Manage annual budgeting and conduct periodic expenditure reviews for financial prudence in the assigned department.
- Handle all procurement requirements for the department.
- Monitor service utilization rates and implement initiatives for resource optimization.
- Address risk and audit matters relevant to the assigned allied health departments.
- Track, monitor, and recommend improvements for departmental KPIs and quality indicators.
- Contribute to the strategic advancement of departmental systems and applications, leveraging cloud solutions to enhance service efficacy and cost-effectiveness.
- Prepare annual IT workplan submissions in cooperation with department leads and system managers.
- Coordinate the acquisition and implementation of new systems, assessing EPIC change requests from users.
- Support integration efforts among various internal and external client systems, while ensuring compliance with security standards.
- Upgrade existing IT systems to adhere to new requirements.
- Automate workflows using IT solutions where feasible.
- Assist System Manager in maintaining departmental servers and end-user computing.
- Compile statistical workload reports and perform scheduled or ad-hoc data extraction as required.
- Manage contract maintenance and vendor follow-up for systems.
- Review and update IT Standard Operating Procedures (SOPs) per relevant directives, including continuity measures during downtimes.
- Conduct regular IT audits for the assigned allied health departments.
Requirements:
- Degree in healthcare management or a related field with a minimum of 4 years of relevant experience in healthcare informatics systems.
- Prior experience in hospital operations involving budgeting, procurement, and data analytics is advantageous.
- Strong understanding of information security policies, network security, and firewall administration.
- Proven analytical, problem-solving, and organizational skills, with meticulous attention to detail.
- Ability to manage multiple tasks and projects within tight deadlines effectively.
- Self-motivated with a capacity for quick learning and adaptability.
- Comfortable working independently with minimal supervision.
