Job Summary
ARK Bros Professional Services UK Ltd. is seeking an organised, proactive, and delivery-focused Assistant Project Manager to join our team in Belfast.
As an Assistant Project Manager, you will support the planning, coordination, execution, and monitoring of business and operational projects. Working alongside Project Managers and cross-functional teams, you will help maintain project schedules, coordinate stakeholders, track risks and actions, prepare reports, and ensure agreed project activities remain on schedule.
This role is suitable for candidates with experience in project coordination, project support, PMO, operations, professional services, technology projects, implementation, or similar environments who are ready to take greater responsibility for project delivery.
What You'll Do
- Support Project Managers with the planning and delivery of assigned projects.
- Coordinate project activities from initiation through implementation and handover.
- Maintain project plans, schedules, milestones, deliverables, and action trackers.
- Monitor project progress against agreed timelines and objectives.
- Follow up with project teams on outstanding actions and deliverables.
- Coordinate meetings, project reviews, workshops, and stakeholder discussions.
- Prepare agendas, meeting minutes, action logs, and follow-up communications.
- Maintain accurate project documentation and electronic records.
- Track project risks, issues, dependencies, decisions, and change requests.
- Escalate potential delays, risks, or delivery concerns to the appropriate Project Manager.
- Prepare project status reports, dashboards, presentations, and management updates.
- Coordinate activities between operations, technical teams, administration, suppliers, and other stakeholders.
- Assist with project resource planning and workload coordination.
- Support project budget tracking, purchase administration, invoices, and expenditure reporting where applicable.
- Coordinate routine activities with suppliers, contractors, and external service providers.
- Support implementation, testing, transition, and project handover activities.
- Maintain information within approved project-management and collaboration platforms.
- Assist with project governance, quality checks, and documentation requirements.
- Help ensure agreed project procedures and internal standards are followed.
- Support project team members with day-to-day coordination requirements.
- Identify opportunities to improve project workflows, documentation, and delivery processes.
- Take responsibility for smaller workstreams or project activities under appropriate supervision.
Requirements
- Previous experience in project coordination, project support, PMO, operations, implementation, professional services, technology, or a related environment is preferred.
- Strong organisational and time-management skills.
- Good understanding of project schedules, milestones, deliverables, risks, and dependencies.
- Strong written and verbal communication abilities.
- Excellent attention to detail and documentation skills.
- Ability to coordinate multiple priorities, deadlines, and stakeholders.
- Good analytical, problem-solving, and follow-up abilities.
- Comfortable preparing reports, spreadsheets, presentations, project plans, and meeting documentation.
- Good working knowledge of Microsoft Office or Microsoft 365.
- Familiarity with project-management and collaboration software is advantageous.
- Familiarity with Agile, Scrum, Waterfall, PRINCE2, or similar project methodologies is beneficial.
- Ability to communicate effectively with technical and non-technical stakeholders.
- Comfortable working with project managers, senior colleagues, suppliers, and cross-functional teams.
- Ability to work independently while recognising when matters require escalation.
- Previous responsibility for coordinating small projects or workstreams is advantageous.
- Relevant education, professional training, or equivalent practical experience will be considered.
- PRINCE2 Foundation, APM, Agile, Scrum, or similar project-management training is advantageous but not essential.

Pay: £2,750.00-£3,750.00 per month
