Job Overview
We are looking for a proactive, detail-oriented, and highly organized Administration officer to join our team. In this role, you will oversee end-to-end office administration, local fleet management , tool \& inventory control, HR administrative support, and compliance certification. You will act as a key liaison between site workers, management, local service providers, and clients.
Key Responsibilities
- Inventory \& Purchasing: Monitor tool inventory, track consumption/usage, and perform stock replenishment with a strong emphasis on cost control and high value-for-money sourcing.
- Tool Allocation: Equip new hires according to their team requirements, and issue new/updated tools to existing staff based on project needs.
- Maintenance \& Warranties: Manage power tool repairs, track warranty periods, issue temporary loaner tools, and procure spare parts for out-of-warranty tools.
- Audits \& Return Check-Ins: Conduct thorough tool check-ins and condition inspections upon employee resignations, and perform bi-annual site audits of all tools held by technicians/tradespeople.
- Onboarding \& Leave Tracking: Send welcome emails to new employees. Manage staff leave (annual/sick leave), log training and exam results, notify management/staff regarding low test scores, and ensure supervisor feedback and signatures are collected.
- PPE Management: Monitor, restock, and issue site PPE (safety boots, safety glasses, hard hats).
- Office Procurement: Manage office supplies, seasonal purchasing, weekly supermarket restocks, small material orders, and assist with annual party/team-building planning.
Requirements
- Experience: 1–4 years of experience in administration, operations, fleet management, or logistics within the construction, MEP, or plumbing sector.
- Language Skills: Excellent bilingual communication skills in English and Chinese (verbal and written) to seamlessly liaise with English-speaking mechanics, brokers, and suppliers as well as internal teams.
- Local Knowledge: Strong familiarity with New Zealand vehicle compliance (WOF, COF, Rego), insurance procedures, and trade certification processes.
- Software: Proficient in Microsoft Excel / Google Sheets for tracking tables, registers, and cost records.
- Legal Visa in NZ
Pay: $25.00 – $28.00 per hour
Expected hours: 35.0 – 45.0 per week
